As an Office Coordinator, you will be the first point of contact for visitors and callers, ensuring a welcoming and efficient environment. Your responsibilities will include managing a multi-line phone system and directing inquiries to the appropriate team members.

  • Handle voice mail messages and relay them to the relevant staff.
  • Respond to incoming calls, assess the purpose, and connect callers to the correct department; take messages or direct calls to voice mail when necessary.
  • Provide information about the organization, including directions and services; greet visitors, ascertain their needs, and notify the appropriate personnel.
  • Oversee visitor access, issue passes as needed, manage appointment schedules, prepare travel vouchers, and process payments for services.
  • Sort and distribute incoming mail, maintain publications, and assist with fax operations, including sending and receiving documents.
  • Order and manage office supplies to ensure a well-stocked environment.
  • Perform various clerical tasks such as filing, photocopying, and collating documents. Address standard operational issues.
  • While performing these duties, you will frequently sit, talk, and listen. Occasional walking, stooping, kneeling, or crouching may be required, along with lifting items up to 10 pounds. Specific vision abilities include close vision and the ability to adjust focus.

Qualifications:
  • Proficient in Microsoft Office applications.
  • Able to read and interpret documents such as safety guidelines and operational manuals; capable of writing routine correspondence and reports.
  • Competent in basic mathematics, including calculations for discounts and percentages.
  • Skilled in problem-solving and managing a variety of situations with limited standardization.
  • Proficient in gathering and analyzing information to develop alternative solutions.
  • Capable of managing challenging customer interactions and responding promptly to inquiries.
  • Effective communicator, both verbally and in writing, with strong presentation skills.
  • Able to work collaboratively within a team, supporting group goals and recognizing the contributions of others.
  • Demonstrates respect and professionalism in all interactions, taking responsibility for actions and commitments.
