Position Overview:

Facilities Maintenance Management LLC is in search of a dedicated individual to take on the role of Client Services Representative. This position is vital for ensuring exceptional service delivery to our diverse clientele across residential and commercial sectors.


Key Responsibilities:

The Client Services Representative serves as the primary liaison for our clients, demonstrating outstanding customer service in a dynamic call center environment.

  • Assist in maintaining and updating client information across various online platforms, including service locations, client contacts, vendor details, and material orders.
  • Handle incoming calls and emails related to service requests, ensuring timely and appropriate responses.
  • Create, assign, and manage both preventative and reactive work orders for all clients.
  • Secure client approval for costs associated with on-demand work orders.
  • Coordinate with vendors to facilitate general repairs and maintenance, providing them with necessary work order details.
  • Monitor and update all work order requests in accordance with service level agreements.
  • Maintain an organized electronic filing system for all client-related documents.
  • Support the Client Manager by generating standard reports for all clients.
  • Prepare and distribute weekly reports on open and completed work orders to the Client Manager.
  • Train vendors on work order processes and invoicing requirements.
  • Respond to after-hours service calls as scheduled.

Required Qualifications:
  • A minimum of 2 years of experience in a customer service role.
  • Exceptional customer service and interpersonal abilities.
  • Strong verbal and written communication skills for effective interaction with clients and team members.
  • Proficiency in Microsoft Office Suite, Adobe, QuickBooks, or similar accounting software, along with electronic filing systems.
  • Ability to manage multiple tasks efficiently in a fast-paced setting.
  • Maintain a positive demeanor while delivering prompt and courteous service.
  • Contribute to departmental and organizational success through teamwork and integrity.

Physical Requirements:
  • Ability to sit for extended periods while working on a computer.
  • Capability to lift items weighing up to 15 pounds.
  • Must be able to pass a Fit for Duty Screening.
