We are seeking a highly skilled and detail-oriented Front Office Receptionist to join our team at Marin Community Clinics. As a key member of our front office staff, you will be responsible for providing exceptional patient service, managing patient flow, and ensuring a smooth and efficient experience for our clients.
Key Responsibilities- Greets and welcomes patients, processes appointments, and notifies clients of expected wait times.
- Answers inquiries regarding clinic information, provides customer service, and makes appointments as needed.
- Confirms next-day appointments, performs cancellations or rescheduling, and provides alternative medical service information for new clients.
- Accurately enters and confirms billing and demographic data, captures vital demographic data, and obtains authorized signatures.
- Verifies timelines of arrival, collects new patient private pay deposits, and clearly documents on the superbill.
- Prepares charts and superbills for appointments, assists nurses with overflow calls, and takes detailed messages.
- Routes nurse messages, handles patient payments, and reconciles receipts and charges.
- Maintains the patient waiting room in a clean and orderly condition, informs staff of repairs or maintenance needs, and schedules appointments in the Practice Management System.
- Provides excellent customer service, informs patients of payment obligations, documents needed, and clinic policies and procedures.
- Maintains control of daily superbill copies, transfers calls, and pages staff as necessary.
- High School Diploma or Equivalent (GED) required.
- Some college education highly desired.
- Bilingual in English and Spanish required.
- 1 year work experience in a hospital setting or fast-paced private practice preferred.
- 1-2 years prior experience in a clerical front office receptionist position.
- Prior experience working in a customer service-oriented environment highly desired.
- Experience with Electronic Health Records (EPIC) desired.
- High level of initiative, attention to detail, and ability to follow-through on assignments independently to completion.
- Excellent communication skills and interpersonal skills required.
- Ability to communicate effectively in English and Spanish in person and over the phone.
- Ability to use a computer and have basic knowledge of Microsoft Office/Outlook software.
- Active listening and asking questions as appropriate to determine patients and visitor's needs.
- Excellent display of professionalism while communicating with patients and visitors.
- Ability to multitask in a fast-paced environment, train other staff members, and work in a team environment setting.
- Ability to complete tasks efficiently and correctly, provide patients and visitors with a high level of customer service, and prioritize assignments as needed.
