Overview:
The Patient Care Support Specialist plays a vital role in delivering outstanding service to patients while ensuring smooth patient flow within the healthcare environment. This position serves as a crucial link among insurance representatives, appointment schedulers, healthcare providers, and patients. The specialist aids patients and therapy professionals in the preparation and delivery of effective therapy services.

Key Responsibilities:

1. Acts as the primary contact for patients, welcoming them and managing phone communications promptly and professionally, ensuring calls are prioritized and directed correctly.

2. Handles patient registration and scheduling for all individuals seeking services.

3. Works collaboratively with scheduling teams, insurance representatives, and clinical staff to enhance scheduling efficiency and increase patient throughput. Updates schedules to accurately reflect patient arrivals, cancellations, or no-shows.

4. Updates and verifies insurance details, coordinating with insurance representatives to guarantee correct billing and authorization processes.

5. Processes patient payments at the point of service in accordance with established protocols. Addresses patient inquiries and directs them to the appropriate team member as necessary.

6. Creates and maintains comprehensive patient records, ensuring all required documentation is completed. Scans relevant documents into the medical record and oversees the discharge process across all systems.

7. Manages requests for medical records as identified by health information management, third-party payers, legal representatives, patients, caregivers, or vendors.

8. Ensures the department is well-stocked by maintaining and replenishing supplies for seamless operations.

9. Strives to provide an optimal patient experience by preparing and sanitizing treatment areas.

10. Assists physical, occupational, and speech therapists, as well as their assistants, as directed.

11. Cleans and maintains equipment in accordance with infection control standards, reporting any necessary repairs or inspections to the supervisor, and safely assists patients with equipment usage.

12. May require travel between outpatient locations based on coverage needs.

13. Provides support for other administrative tasks as required.



Essential Skills:


Demonstrates exceptional customer service abilities, with a friendly, professional demeanor and clear communication skills. Capable of managing multiple tasks efficiently. Proficient in computer usage, with strong data entry and reporting capabilities. Previous experience in a healthcare office setting and/or assisting therapy professionals is preferred.

Familiarity with medical terminology, coding, billing practices, and medical records management is advantageous.

Experience in patient interactions and community engagement is also beneficial.
