Role: Medical Practice Patient Representative (Clerical Assistant) - Nuvance Health

Overview: The Patient Representative is responsible for welcoming patients and visitors, managing appointment scheduling, and providing accurate information to inquiries. This role is crucial in coordinating front desk activities to ensure efficient operations and precise entry of patient information. The representative will handle a variety of clerical tasks to support both administrative and clinical personnel.

Key Responsibilities:

1. Maintain a welcoming reception area, ensuring all patients are greeted and checked in/out promptly and accurately. Verify patient demographics and insurance details upon check-in, and scan necessary documents.

2. Confirm patient insurance coverage through online resources or phone calls, and collect copayments and co-insurances as required.

3. Record charges and copayments accurately, and enter balanced information into spreadsheets.

4. Provide necessary forms for patient completion, review for accuracy, and inform clinical staff when patients are ready for their appointments.

5. Schedule patient appointments and procedures, manage the appointment calendar, and confirm next-day appointments. Process authorizations and complete all necessary documentation.

6. Prepare charts for clinical staff in advance of patient visits and handle medical record requests efficiently.

7. Assist physicians by returning patient calls as requested, maintaining the physician's schedule, and communicating test results to patients when necessary.

8. Complete and review forms for disability and workers' compensation, ensuring physician signatures are obtained.

9. Manage filing, charting, faxing, and other clerical functions essential for office operations.

10. Perform all mainlining functions, including sending welcome packets to new patients on the day their appointment is scheduled.

12. Demonstrate consistent and reliable attendance.

13. Execute additional duties as assigned.


• High School Diploma/GED or Equivalent required.

• Minimum of 1 year of customer service experience is essential.


• Preferred: 1+ years of experience in a healthcare setting.

Additional Information:Required: High School Diploma/GED. Strong communication skills (both written and verbal) are necessary.
Minimum Experience: six months
Desired: Familiarity with Practice Management Systems, experience in a medical office, and proficiency in MS Excel. Salary Range: $ hourly (based on years of relevant experience).
