Position Overview

The Senior Medical Staff Services Coordinator will report directly to the Director of Medical Staff Services. This role encompasses a variety of responsibilities, including managing meetings and overseeing credentialing and privileging processes to ensure compliance with contractual obligations, internal regulations, external accreditation standards, and relevant state laws.

Under the guidance of the Director, the Coordinator will also be tasked with supporting the execution of activities outlined in a defined Statement of Work, ensuring adherence to service level standards in accordance with Chartis contracts.

Key Responsibilities
  • Credentialing and Privileging: Oversee practitioner credentialing, privileging, and performance evaluations. Manage application processes, verify information, and identify potential issues for review by leadership.
  • Monitoring Credentials: Track expiration of critical documents such as DEA licenses, professional liability insurance, and board certifications. Maintain and update credential files in both paper and electronic formats.
  • Competency Management: Prepare practitioner information for evaluation by medical staff leaders and support competency management functions, including proctoring and performance evaluations.
  • Continuing Medical Education (CME): Coordinate CME activities, analyze educational needs, and ensure compliance with accreditation standards.
  • Meeting Coordination: Assist in agenda preparation, attend meetings, and ensure accurate documentation of minutes and follow-up actions.
  • Operational Oversight: Collaborate with the Director to develop quality indicators and ensure that operational workflows and policies are up-to-date.
  • Document Management: Maintain governance documents and ensure compliance with federal, state, and accreditation requirements.
  • Departmental Support: Assist in managing daily operations, provide resources for staff, and promote best practices in credentialing and privileging processes.
  • Miscellaneous Tasks: Maintain proficiency in necessary software applications and support general operations of the Medical Staff Services Department.

Qualifications
  • Minimum of 4 years of experience in Medical Staff Services within an acute healthcare environment, with a preference for experience in credentialing and meeting management.
  • Associates or Bachelor's degree is required; equivalent experience may be considered.
  • Preferred certifications include Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Services Management (CPMSM).
