The Lead Patient Access Coordinator is tasked with executing admission responsibilities for all patients entering the healthcare facility for services. This role demands adherence to the organization's mission and objectives while ensuring compliance with all regulatory standards. The Coordinator will operate within established policies and procedures across the organization.
  • Patient Access personnel are responsible for accurately assigning Medical Record Numbers (MRNs), conducting medical necessity and compliance assessments, providing essential patient instructions, gathering insurance details, processing physician orders, and utilizing overlay tools while delivering exceptional customer service as evaluated by Press Ganey. They will manage the telephone switchboard to facilitate incoming, outgoing, and inter-office communications as necessary, adhering to policies and ensuring compassionate customer interactions. Patient Access personnel will be accountable for achieving designated point-of-service goals.
  • Lead Patient Access Coordinators will leverage quality auditing and reporting systems to rectify accounts. This may involve reviewing accounts for other staff, departments, and facilities. They will conduct audits to ensure all documentation is completed accurately and promptly to meet audit standards, providing statistical insights to Patient Access leadership.
  • Lead Patient Access Coordinators are responsible for pre-registering patient accounts prior to their visits. This may involve both inbound and outbound communications to gather demographic, insurance, and other pertinent patient information, including financial liabilities and collection of point-of-service payments as well as outstanding balances and payment plan options.
  • The Lead Patient Access Coordinator will clarify general consent for treatment forms to patients, guardians, or legal representatives, securing necessary signatures and witness information. They will explain and distribute patient education materials, including Important Messages from Medicare, Tricare, Observation Forms, MOON forms, Consent forms, and other relevant documents for upcoming services.
  • They will review eligibility responses within the insurance verification system, accurately selecting the relevant insurance plan codes and entering benefit data to support point-of-service collections and billing processes, thereby aiding in achieving a clean claim rate.
  • Responsible for the precise screening of medical necessity using Advanced Beneficiary Notice (ABN) software, they will inform Medicare patients of potential non-payment for tests by Medicare and distribute the ABN as necessary. They will also manage the distribution and documentation of other designated forms and informational pamphlets.
Employment Qualifications:
  • Certified Healthcare Access Associate (CHAA) and/or Certified Revenue Cycle Representative (CRCR). (Company Sponsored)
Other Preferred Knowledge, Skills, and Abilities:
  • Associate's Degree (2-Year)
  • Preferred Education - Specialty/Major: Healthcare Administration, Business Administration, or a related field.
  • Minimum Experience: 2-3 years in patient access or a leadership capacity.
  • Required Knowledge, Skills, and Abilities:
  • Comprehensive understanding of the Revenue Cycle, including admissions, billing, payments, and denials. In-depth knowledge of patient insurance processes for obtaining authorizations and verifying benefits. Familiarity with Health Insurance requirements and medical terminology or CPT/procedure codes.
