Position Title: Client Admissions Specialist

Reports To: Director of Admissions / Facility Administrator

Position Type: Full-Time

Role Summary: The Client Admissions Specialist at Navita Health is tasked with overseeing the intake and admissions process for new clients, ensuring a seamless and efficient experience. This position entails assessing potential clients, collaborating with clinical teams, maintaining precise records, and delivering exceptional customer service to clients and their families.

Key Responsibilities:

Client Evaluation and Assessment:

  • Conduct initial evaluations and screenings for prospective clients to ascertain eligibility for services.
  • Collect and review essential documentation, medical histories, and insurance details.
  • Work alongside clinical staff to determine the suitability of admissions based on established clinical criteria.

Management of Admissions Process:

  • Oversee the complete admissions process from the first inquiry to final acceptance.
  • Ensure the timely and accurate completion of all admission-related paperwork and documentation.
  • Communicate admission outcomes to clients, families, and referral sources in a timely manner.

Support for Clients and Families:

  • Provide clear and empathetic communication to clients and their families regarding the admissions process.
  • Address any inquiries or concerns clients or families may have about treatment options and facility policies.
  • Offer guidance and support to clients and families during their transition into the facility.

Collaboration with Internal Teams:

  • Coordinate with clinical, administrative, and financial teams to ensure a smooth admissions process.
  • Facilitate communication between clients, families, and treatment teams to align care plans.
  • Ensure all necessary pre-admission evaluations and assessments are completed.

Record Management and Compliance:

  • Maintain accurate and current records of all admissions and related documentation.
  • Ensure adherence to all relevant regulatory requirements and accreditation standards.
  • Monitor and report on admission trends, metrics, and outcomes.

Outreach and Relationship Building:

  • Assist in outreach initiatives to foster relationships with referral sources, including healthcare providers and community organizations.
  • Engage in marketing efforts to promote the facility's services and programs.
  • Represent the facility at community events and outreach activities.

Commitment to Continuous Improvement:

  • Identify opportunities to enhance the admissions process and improve client experience.
  • Implement feedback from clients, families, and staff to drive continuous improvement initiatives.
  • Stay informed on best practices and industry trends in behavioral health admissions.
Qualifications:
  • Education: Bachelor's degree in Social Work, Psychology, Healthcare Administration, or a related field. A Master's degree is preferred.
  • Experience: Minimum of 2-3 years of experience in a behavioral health or healthcare environment, ideally in an admissions or intake capacity.
  • Skills:
    • Exceptional communication and interpersonal skills.
    • Strong organizational and time-management capabilities.
    • Ability to work independently and collaboratively within a team.
    • Proficiency in electronic health record (EHR) systems and Microsoft Office Suite.
    • A compassionate and empathetic approach to client care.
  • Certifications: Relevant certifications in behavioral health, counseling, or social work are advantageous.
Working Environment:
  • Primarily operates in an office setting within the behavioral health facility.
  • May require occasional evening or weekend hours.
  • Engagement with clients, families, and healthcare professionals.
