The Client Relations Specialist serves as the essential liaison, ensuring that clients receive prompt, efficient, and high-quality service. This role involves directing clients to the appropriate team members and assisting with various service requests.


KEY RESPONSIBILITIES:
  • Welcome and assist clients visiting the office.
  • Provide policy documentation and identification cards through various communication methods.
  • Address client inquiries regarding billing and facilitate premium payment processing, including adjustments to payment plans.
  • Establish Electronic Funds Transfer (EFT) or Recurring Credit Card (RCC) arrangements and secure necessary documentation.
  • Manage overflow payment messages and return client calls promptly.
  • Support service teams in gathering information related to changes in golf cart policies, auto insurance, mortgages, and policy cancellations.
  • Ensure all necessary signatures are obtained on relevant paperwork.
  • Assist Risk Consultants as needed.
  • Communicate with clients if appointments are delayed.
  • Maintain accurate records of client visits and appointments.
  • Monitor office supply needs and submit orders as required.
  • Perform closing duties, ensuring the office environment is secure and tidy.

KNOWLEDGE, SKILLS & ABILITIES:
  • Exhibit the core values of the organization, demonstrating behavior that aligns with the company culture.
  • Ability to learn and adapt to various software systems utilized by the firm.

EDUCATION & EXPERIENCE:
  • Licenses: Maintain a 4-40 license as mandated by the State Department of Insurance or be willing to obtain all necessary licenses within the initial employment period.
  • Experience: No prior experience is required; however, 0-2 years in the insurance field is preferred. Familiarity with multi-line phone systems and basic computer skills is essential. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is advantageous.
