Job Summary

This role provides administrative and clerical support to facilitate patient-centered care on a healthcare unit or department. The successful candidate will contribute to the achievement of established department goals and objectives, adhering to department policies, procedures, quality standards, and safety standards.

Key Responsibilities

  • Accurately transcribe orders and notify the registered nurse in a timely manner.
  • Communicate patient information to the registered nurse in a timely manner, reporting actual and potential problems concerning patients, families, staff, and other departments.
  • Compile and maintain unit statistics regarding admissions, discharges, and transfers, adhering to unit policy.
  • Expedite the patient admission, transfer, and discharge process, performing bed control functions following hospital policy, procedures, and guidelines.
  • Greets and orients patients, families, and significant others to the patient care unit and the patient room, following the admission procedure.
  • Maintain accurate and up-to-date inventory of patient forms on the unit, ensuring forms are readily available for all healthcare providers.
  • Participate in multi-disciplinary quality and service improvement teams, unit-based/hospital committees, and represent the department and hospital in community outreach efforts.
  • Perform clerical duties to maintain the patient's medical record, assembling and copying charts and forms, and preparing the medical record for patient admission, transfer, and discharge.
  • Respond to questions from MDs, other healthcare providers, patients, families, and significant others in a prompt, courteous, positive, and knowledgeable manner, referring to appropriate personnel as needed.

Requirements

  • High School Diploma or GED required.
  • Knowledge of medical terminology required.
  • Less than 1 year 6 months unit secretary, registration, or medical records experience preferred.
  • Related clerical experience in a healthcare setting preferred.

Preferred Qualifications

  • Completion of an approved Unit Secretary curriculum or equivalent experience as registration or medical records assistant in a healthcare setting preferred.

Knowledge, Skills, and Abilities

  • Basic computer skills.
  • Verbal and written communication skills.
  • Ability to operate standard office equipment.
