Location: Manufacturing Facility
Department: Administration
Reports To: Plant Manager/Operations Manager
The Office Manager in a manufacturing setting is responsible for overseeing the administrative functions of the office, ensuring smooth operations, and supporting the manufacturing team. This role involves managing office staff, coordinating with various departments, and maintaining efficient office systems.
Key Responsibilities:
- Administrative Management: Oversee daily office operations, including scheduling, correspondence, and office supplies management.
- Staff Supervision: Manage and support office staff, including hiring, training, and performance evaluations.
- Budget Management: Prepare and manage the office budget, ensuring cost-effective operations.
- Coordination: Act as a liaison between the office and the manufacturing floor, facilitating communication and workflow.
- Compliance: Ensure compliance with company policies and industry regulations, including health and safety standards.
- Record Keeping: Maintain accurate records of office activities, including employee files, financial documents, and inventory.
- Project Management: Assist in planning and executing office-related projects and initiatives.
- Customer Service: Handle inquiries and provide support to clients, vendors, and visitors.
- System Management: Manage all functions of the ERP system with the ability to troubleshoot all situations that may arise.
- Inventory Control: Conduct monthly inventories and troubleshoot physical inventory as well as virtual inventory as needed utilizing root cause analysis.
Qualifications:
- Education: Bachelor's degree in Business Administration, Management, or a related field.
- Experience: Minimum of 3-5 years of experience in office management, preferably in a manufacturing environment.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Strong Understanding of accounting with a focus on general ledger transactions
- Knowledge of manufacturing processes and terminology is a plus.
- Attributes:
- Detail-oriented and proactive.
- Ability to work under pressure and meet deadlines.
- Strong problem-solving skills.
