Job Title: Transcriptionist

We are seeking a skilled Transcriptionist to join our team at Lighthouse for the Blind of Houston. As a Transcriptionist, you will play a critical role in converting audio and video files into written versions and formal reports.

Job Summary:

The Transcriptionist is a commercial contract position that requires converting content from audio and video files into written versions and formal reports. This position is primarily responsible for interpreting and transcribing information from electronic or audio devices, provided by the client into formal and written reports.

Responsibilities:
  • Protect the data integrity of the content to ensure information is confidential and secure and only shared with the client or other assigned designee.
  • Follow all confidentiality rules to preserve data quality and reduce chance for information or compromise.
  • Interpret and transcribe information from electronic or audio devices, provided by the client into formal and written reports.
  • Review and edit transcribed reports or dictated material for spelling, grammar, consistency, and proper terminology related to the field.
  • Check for accuracy of reports for accuracy of content by respective customer and ensures completion of all information prior to providing to the customer.
  • Identify inconsistencies, errors, and missing information that is critical for overall transcription report.
  • Provide reports for review and approval in a timely manner or per deadline provided.
  • Follow confidentiality guidelines and legal documentation requirements of transcription reporting.
  • Requires researching the subject matter to ensure the context is captured accurately into a readable text.
  • Complete transcriptions in a timely manner, reviewing grammar, punctuation, and spelling prior to submission.
  • Remain familiar with the latest transcription software and recommend upgrades or enhancements if necessary.
  • Ensure typing skills are honed and remain sharp by completing typing skills on a regular basis.
  • Use online file-management system to complete, submit, and correct transcription projects.
  • Apply good listening and writing skills on every transcription to ensure information is provided to the client or team member accurately.
  • Apply the principles and values of customer service and continuous quality improvement while performing day-to-day work activities.
  • Maintain positive working relationships and foster cooperative work environment with the client and customer service team.
  • Attend team meetings when required and provide updates, suggestions, or concerns for team and process improvement.
  • Follow and comply with the organization's Code of Conduct, Harassment, and Workplace policies and procedures and customer's workplace policies.
  • Update Supervisor/Team Lead with any work issues or concerns immediately after discovery or being notified via required information source.
  • Perform other related job duties as needed.
Qualifications:
  • High school diploma or GED equivalent.
  • Bachelor or Associate Degree a plus but not required.
  • Must have 1 to 2 years of relevant transcription experience.
Knowledge, Skills, and Abilities:
  • Must have good time management skills and the ability to plan and organize tasks to complete them in a suitable amount of time.
  • Must be trustworthy and able to maintain confidentiality of information disclosed by the customers and abide by the disclosure guidelines.
  • Able to use dictation, Microsoft Office, and other needed software for the transcriptions.
  • Experience with database and voice recognition software is a plus.
  • Requires attention to detail and good analytical skills based on transcription needs.
  • Good typing skills at an acceptable level of speed for meeting the customer's needs.
  • Good proofreading, spelling, and grammatical skills to ensure accuracy of written reports.
  • Good verbal communication, listening, and computer skills.
  • Good comprehension skills with the ability to understand and interpret what is being heard.
  • Ability to work independently or with a team and meet deadlines.
  • Ability to work with a variety of people and personalities.
  • Good editing skills and ability to read written, language, identify errors for correction.
  • Requires multi-tasking based on the transcription requirements of listening and transferring information at the same time.
  • Answer inquiries concerning the progress of the customer cases, while remaining within the limits of confidentiality requirements.
  • Able to work safely and follow the company safety rules and procedures.
  • Prepare, index, and QA various paper documents for scanning to electronic format.
  • Good computer skills and able to adapt to Microsoft Office software and other software-related systems.
  • Demonstrated ability to use computer, printer, scanner, telephone, and use of assistive technology such as Zoom Text, Jaws, or other Blind/Low Vision assistive technology aids, strong level of confidentiality due to sensitivity of materials and information needed.
  • Ability to research and look up client information using software and programs provided by the organization.
  • Ability to prioritize and work at a high level of accuracy.
  • High multi-tasking and organizational skills, time-management, and attention to detail.
  • Ability to work under pressure, meet deadlines, adapt to fast-paced work conditions and changes and expectations of the clients.
  • Ability to work independently or in a team setting.
  • Good computer skills and able to adapt to different software programs such as Microsoft Office, assistive technology, and client-provided systems.
  • Demonstrated ability to use computer, printer, scanner, telephone, and use of assistive technology such as Zoom Text, Jaws, or other Blind/Low Vision assistive technology aids.
Supervisory Responsibilities:
  • This position has no supervisory responsibilities.
Physical Demands and Working Conditions:

The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities.

  • This position requires prolonged periods of sitting and frequent use of the computer for keyboarding and data entry. This position may also require some lifting of boxes of 10 to 40 pounds. Lifting assistance can be provided for boxes greater than 50 pounds.
