Job Overview

The Children's Home of Poughkeepsie is seeking a highly skilled and organized Administrative Assistant to provide essential support to the Assistant Executive Director of Federally Funded Programs. This role will ensure seamless office operations, effective communication, and project coordination, while contributing to the department's administrative needs.


Key Responsibilities
  • Provide primary support to the Assistant Executive Director, ensuring efficient operations and the accomplishment of agency goals.
  • Manage email and phone communications, prioritizing urgent matters and maintaining professionalism.
  • Assist with CHP/ORR reports and data requests, as well as calendar management, scheduling appointments, and handling time-sensitive matters.
  • Support project management by coordinating, tracking, and following up on project statuses, and organizing meetings by scheduling, sending reminders, and ensuring readiness.
  • Maintain confidentiality and professionalism across all responsibilities, and provide support to the NAP Shelter, LTFC, and HSPRS Administrative Assistants as required.
  • Serve as the back-up supervisor for reception duties during the absence of the Executive Assistant and cover breaks and lunches in the absence of the regular receptionist.
  • Perform any additional tasks as delegated by the Assistant Executive Director of Federal Programs.

Requirements
  • High School Diploma or Equivalent
  • At least 1 year of experience in administrative work
  • Valid NYS Driver License in good condition as determined by the Agency

Preferred Qualifications
  • Higher Education
  • Previous high-level administrative experience
  • Experience in developing internal processes and filing systems
  • Bilingual in English and Spanish
