Job Title: Human Resources Generalist

At the Audubon Institute, we are seeking a highly skilled and experienced Human Resources Generalist to join our team. As a key member of our HR department, you will be responsible for managing a wide range of HR functions, with a particular focus on employee benefits, compliance, policy implementation, and HRIS management.

Key Responsibilities:
  • Benefits Administration: Act as the primary liaison between employees, insurance carriers, and health care providers, ensuring smooth communication and resolution of benefits-related issues. Oversee benefits-related HRIS input, ensuring accurate data entry for medical, dental, vision, retirement, and other benefit programs. Perform regular audits to ensure benefits eligibility and compliance with organizational and regulatory requirements. Manage open enrollment, including coordinating employee benefit meetings, preparing necessary documentation, and facilitating online enrollment. Provide employees with guidance on retirement plan options, changes in benefits, and leave policies, such as FMLA and disability.
  • Compliance and Legal Expertise: Ensure compliance with federal and state employment laws (e.g., FMLA, ADA, COBRA, HIPAA) and maintain accurate, up-to-date records of employee leave, medical benefits, and retirement plans. Coordinate and distribute regulatory notices, such as COBRA and HIPAA notifications, to ensure compliance. Collaborate with the payroll department to confirm accuracy in employee records and timely updates to reflect personnel changes, medical benefits, and other employee statuses.
  • HRIS and Data Management: Serve as the master user of the ADP system, responsible for generating reports and maintaining the integrity of HR data. Verify all personnel information, including benefits, compensation, and leave status, is updated accurately and consistently. Analyze data from the HRIS to provide insights and reports to leadership, enabling data-driven decisions about workforce management and HR processes.
  • Employee Relations and Communication: Act as a trusted resource for employees, answering questions related to HR policies, benefits, and workplace issues, and ensuring clear communication across all levels of the organization. Foster a positive work environment by addressing employee concerns in a timely and respectful manner and facilitating a healthy, productive workplace culture. Assist in the development and communication of new HR policies and initiatives that enhance employee engagement and align with company goals.
  • Administrative and Operational Support: Reconcile and process benefits invoices and payments to ensure timely and accurate disbursements. Participate in the organization and execution of company-wide events such as wellness programs, health fairs, and employee recognition activities, ensuring a comprehensive approach to employee well-being.
  • Project Management and Collaboration: Work closely with other HR team members on special projects, such as policy updates, wellness initiatives, and process improvements, ensuring alignment with the company's mission and goals. Collaborate with managers to forecast employee benefits needs, analyze trends, and recommend improvements that enhance the employee experience and operational efficiency.

Qualifications:

  • Education: Bachelor's degree preferred or 3-5 years Human Resources experience.
  • Skills: Proficiency in Microsoft Office (especially Excel) and HRIS software (preferably ADP Workforce Now). Strong communication, organizational, and problem-solving skills with the ability to manage multiple priorities simultaneously. Knowledge of federal and state employment laws and regulations, with the ability to ensure compliance and mitigate risk. Strong attention to detail, particularly when handling sensitive and confidential information.
  • Abilities and Capabilities: This role demands the ability to thrive in a fast-paced environment, where multitasking and managing numerous projects simultaneously is essential. The ideal candidate will consistently deliver accurate results under pressure, ensuring minimal errors while maintaining a high standard of work efficiency.

Physical Requirements:

  • Sedentary Work: exerting up to 10 pounds of force occasionally, or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. May involve sitting most of the time but may involve walking or standing for brief periods of time.
  • Sitting or standing, bending, stooping, and the ability to carry items weighing up to 10 pounds.
  • Constant adequate range of motion and mobility required.
  • Regular near acuity with clarity of vision at 20 inches or less required.
  • Typical ability to collect and analyze numerical and written data and verbal information to reach logical conclusions and ability to determine the time, place and sequence of operations or actions required.
  • Regular talking and the ability to express and exchange ideas by means of language expected.
  • Regular hearing and the ability to perceive the nature of sounds.
  • Constant ability to read, record, or type data quickly and accurately required.

Environmental/Working Conditions:

  • Working long hours between breaks or meals required.
  • Ability to work under and handle stress in an appropriate manner required.
  • May be exposed to high, medium, or low noise intensity.
  • Constant contact with co-workers required.
  • Affinity for animals preferred.
  • Exposure to fluctuations in temperatures may be required.

Utilize proper phone etiquette (answer phone within three rings, smile before answering call, ask for permission and wait for response before placing caller on hold). Ensure work area is free of food, drink, socialization, and personal business. Follow Dress Code Policy on clothing and grooming. Keep unpleasant concerns behind closed doors (vent backstage).
