Parts Specialist: Shop Coordinator

The Parts Specialist position at TOTAL WAREHOUSE Inc will work closely with dispatch and shop technicians to ensure seamless communication and efficient parts ordering. This role will also be responsible for creating quotes and managing service parts inventory in NetSuite.
Key Responsibilities- Accept and process customer and shop service technician orders for parts and service.
- Manage the asset service quoting cycle, ensuring accurate and timely quotes for customers.
- Collaborate with Dispatch to strategize and plan shop repair times and coordination for parts fulfillment.
- Assist with new customer setup, credit terms, and billing support.
- Verify correct billing information on work orders and prepare for accurate invoicing.
- Maintain direct contact with customers, updating them on the status of backordered parts and advising on substitutions or modifications when necessary.
- Prepare sales orders for invoicing, receive purchase orders, and obtain credit authorization when required.
- Determine and research customer parts needs through literature, computer programs, and parts knowledge.
- Enhance customer retention by monitoring satisfaction and responding to concerns.
- Excellent verbal and written communication skills.
- Strong organizational skills to prepare and assign routes.
- General understanding of machine parts and their functions.
- Ability to work at a fast pace and under pressure.
- Ability to multitask.
- Advanced customer service skills.
- Knowledge of the industry is recommended but not required.
