We are looking for a seasoned Executive Administrator to support our Financial Planning & Analysis (FP&A) and Treasury leadership teams. In this role, you will report directly to the VP of FP&A and play a crucial part in both teams.

Key Responsibilities
  • Efficiently manage and prioritize the calendars of the VP of FP&A and VP of Treasury, handling complex scheduling.
  • Coordinate travel arrangements, both domestic and international, and prepare expense reports.
  • Proactively address potential scheduling conflicts, ensuring timely follow-ups and accountability.
  • Respond to inquiries and manage expectations effectively with various stakeholders.
  • Foster positive working relationships with staff, internal departments, and external contacts, including sensitive interactions.
  • Collaborate with fellow Executive Administrators to streamline executive coordination and prioritize tasks.
  • Work closely with the Chief of Staff to synchronize operational rhythms for the FP&A and Treasury teams.
  • Organize team events, meetings, and offsite gatherings, managing logistics and on-site arrangements.
  • Maintain email distribution lists and shared directories.
  • Coordinate with Accounts Payable to ensure timely payment of invoices.
  • Act as the primary contact for departmental purchases on behalf of your executives.
  • Support staff meetings by preparing agendas, taking notes, and distributing minutes and presentations as needed.
  • Manage special projects, including creating presentations, financial spreadsheets, and reports.
  • Assist the Finance Diversity and Belonging Committee by scheduling meetings and coordinating events.
Minimum Qualifications
  • 4-6+ years of experience providing administrative support to senior executives.
  • Experience in a fast-paced environment requiring strong multitasking and time management skills.
  • Adaptability to rapidly changing environments with new processes and responsibilities.
  • Ability to meet deadlines and perform well under pressure.
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and familiarity with Mac/Windows operating systems.
  • Excellent verbal and written communication skills.
  • Willingness to travel for events or internal meetings.
  • Ability to handle sensitive information with confidentiality and discretion.
