Accounts Payable Manager (Full-Time)

Circuit of The Americas (COTA) is a prestigious entertainment venue known for hosting high-profile events that draw a diverse audience. The venue also features a variety of concerts organized by Live Nation throughout the year.

Position Summary

The Accounts Payable Manager plays a crucial role in managing the operations of the Accounts Payable Department, ensuring that processing targets are met while adhering to established policies, accounting standards, and regulatory guidelines. This position serves as a key point of contact between the Accounts Payable team and external vendors, reporting directly to the Assistant Controller. This is an onsite role.

Primary Responsibilities

  • Design and implement effective accounts payable processes that align with the strategic goals of COTA
  • Build and maintain strong relationships with vendors, suppliers, and business partners
  • Work closely with the Legal Department and the Director of Procurement to develop vendor management protocols
  • Onboard new vendors and independent contractors within the NetSuite system
  • Lead, mentor, and oversee the Accounts Payable team
  • Maintain automated workflows for the approval of vendor invoices
  • Ensure the timely and precise processing of accounts payable transactions, including approvals, coding, and general ledger reconciliation
  • Review invoices for compliance with tax regulations and manage sales and use tax obligations
  • Conduct vendor reconciliations and supervise payment processes
  • Execute month-end and year-end closing activities
  • Prepare vendor 1099 forms as required
  • Perform additional tasks as directed by the Controller or Assistant Controller

Qualifications

  • Bachelor's degree in accounting or finance
  • A minimum of 5 years of accounting experience, including at least 3 years in a managerial or supervisory capacity within accounts payable or procurement
  • Proficient in accounting software and ERP systems
  • In-depth knowledge of GAAP accounting principles
  • Detail-oriented, self-driven, and capable of working effectively under pressure

Physical Requirements

  • Ability to stand, sit, use hands, and lift items weighing up to 25 pounds
  • Visual acuity for tasks requiring both close and distance vision

Work Environment

  • Moderate noise levels typical of an office setting
