The Senior Executive Coordinator to the CMO and President is an essential support position tasked with delivering administrative assistance to top executives and operational support to the marketing division. This role demands exceptional organizational capabilities, meticulous attention to detail, and the capacity to manage confidential information with the utmost discretion. The Senior Executive Coordinator is pivotal in ensuring effective communication, managing schedules, and overseeing administrative responsibilities.
KEY RESPONSIBILITIES

  • Oversee and prioritize the schedules of senior executives, arranging meetings, appointments, and conference calls.
  • Facilitate both internal and external meetings, including preparation of agendas, room reservations, and logistical arrangements.
  • Anticipate potential scheduling conflicts and proactively address them to maximize executive time efficiency.
  • Organize travel plans and accommodations for executives, encompassing flights, lodging, and ground transportation.
  • Ensure travel arrangements align with business objectives and budgetary constraints, seeking cost-effective solutions whenever feasible.
  • Provide essential travel documentation and support to ensure seamless travel experiences.
  • Act as the primary contact for internal and external inquiries directed to senior executives.
  • Compose, proofread, and edit correspondence, presentations, and reports on behalf of the marketing team, ensuring precision and professionalism.
  • Prepare meeting agendas, materials, and presentations for marketing team gatherings, leadership discussions, and client presentations.
  • Document meeting minutes, track action items, and follow up on decisions and deliverables to ensure timely execution.
  • Maintain organized records of meeting notes, documents, and presentations for future reference.
  • Manage email communications, prioritize incoming messages, and follow up on action items as necessary.
  • Assist in coordinating and executing marketing projects and initiatives, collaborating with cross-functional teams and external partners as needed.
  • Monitor project timelines, milestones, and deliverables, providing status updates and highlighting any potential risks or issues.
  • Support the rollout of marketing campaigns, events, and promotions, managing logistics and administrative tasks.
  • Perform general administrative duties such as filing, copying, scanning, mailing, and expense management to support the daily operations of the marketing department.
  • Handle sensitive and confidential information with professionalism and discretion, maintaining confidentiality at all times.
QUALIFICATIONS
  • Bachelor's degree in Business Administration, Marketing, Communications, or a related field (preferred).
  • 3-5 years of demonstrated experience as an executive assistant or administrative assistant, ideally within a marketing or corporate setting.
  • Outstanding organizational and time management abilities, with the capacity to prioritize tasks and meet deadlines in a dynamic environment.
  • Strong interpersonal and communication skills, capable of interacting professionally with colleagues, clients, and stakeholders at all levels.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Integrity and discretion in managing confidential information and sensitive matters.
  • Ability to work independently with minimal supervision as well as collaboratively within a team.
  • Ability to work onsite in a hybrid work environment.
COMPENSATION RANGE: $109,000 to $136,200
