Overview

Under general oversight, the role involves executing a range of standard and advanced technical bookkeeping, accounting, and financial responsibilities.

Key Responsibilities

The following duties are essential functions common to this classification. This list is not exhaustive, and incumbents may perform one or all of the tasks listed or similar duties not specifically mentioned. Conducts audits and analyzes various financial transactions and documentation, identifies discrepancies, and resolves issues. Aids in the preparation of the organization's financial statements. Manages employee and vendor payments, cash disbursement reports, and other financial documents. Develops, prepares, and maintains various standard and ad hoc financial reports utilizing different software solutions. Maintains and monitors financial records, databases, and assists in the development of accounting systems. Files and retrieves various documents and system reports efficiently. Prepares and calculates data for computer input; posts, codes, reconciles, reviews, totals, batches, and ensures accuracy. Reconciles balances, bank accounts, financial records, and reports. Assists in the development of necessary manuals and job process documentation. Records various financial documents such as invoices, checks, securities, and cash. Reviews the status of overdue accounts and communicates with customers. Provides customer service to both internal and external stakeholders.

Additional Responsibilities

Implements procedures and trains new personnel. Conducts physical inventory audits or inspections at various locations. Delivers deposits, reports, and tape files to financial institutions. Performs other duties as assigned.

Work Environment

The position is based in a typical office setting and requires the use of standard office equipment, including computers and online collaboration tools.

Required Knowledge, Skills, and Abilities

Proficient understanding of advanced bookkeeping principles, concepts, terms, and processes. Familiarity with basic accounting principles and procedures. Knowledge of fiscal reporting procedures. Some understanding of internal auditing principles and techniques. Ability to compile, analyze, and summarize financial data. Strong organizational skills to plan and manage work efficiently. Competence in performing arithmetic computations related to bookkeeping and accounting tasks. Proficient in operating standard office equipment such as computers, calculators, and adding machines. Effective communication skills, both verbal and written.

Minimum Qualifications

Graduation from an accredited college or university with an associate's degree in accounting, finance, or business, along with one year of experience as an accounting clerk or bookkeeper, or in other roles involving the preparation and maintenance of financial records.

Substitution

Additional experience as an accounting clerk or bookkeeper, or in other roles involving the preparation and maintenance of financial records may be substituted for the required education on a year-for-year basis. Certification as a Certified Public Accountant in the State of Illinois, or a state with reciprocity with Illinois, may also substitute for the required education.

Promotional Requirements

Possession of an associate's degree in accounting, finance, or business; or certification as a Certified Public Accountant in the State of Illinois, or a state with reciprocity with Illinois. One year of service with the organization as an Administrative Specialist. Civil service status as an Administrative Specialist.
