Job Title: People and Culture Associate

At The Educational Alliance Inc., we are seeking a highly motivated and capable People and Culture Associate to join our dynamic HR team. This role is responsible for supporting various programs and processes within the People and Culture department, ensuring a smooth and compliant integration of new hires into the organization.

Key Responsibilities:
  • Manage the onboarding process for all new hires, ensuring timely and accurate completion of all required activities.
  • Periodically re-evaluate the onboarding process based on feedback from end-users and new-hire surveys, providing recommendations for process improvements.
  • Enter data into the HRIS platform, background check websites, job boards, and other software platforms.
  • Draft memos for job/status changes, employment verification letters, and other general correspondence, ensuring timely communication.
  • Maintain the People and Culture intranet site.
  • Provide QA/QC support to ensure all required information/documentation is completed timely and accurately.
  • Serve as a resource for employees with payroll inquiries, liaising with the payroll team as needed to resolve issues.
  • Assist with special projects and initiatives, including creation and/or modification of process flows, standard operating procedures, FAQs, and guides.
  • Handle routine inquiries, correspondence, and departmental administration, including basic employee questions regarding policy or process, benefits, organizational change administration, vacancy analysis, performance review support, exit interviews, and more.
  • Assist in collecting, preparing, and reviewing data for reports, programs, and other formal written communications, ensuring high-quality output.
  • Review and submit reimbursement requests for various programs, such as tuition and healthcare reimbursements, process employee referral bonuses, and additional invoices as needed, through the vendor management system.
  • Responsible for maintaining a broad understanding of Company policies, department procedures, and more.
  • Contribute to the development of communication and outreach strategies to staff, identifying frequently asked questions from multiple entities and actively engaging the P&C team, staff, and managers for feedback.
  • Recommend changes to human resources policies by observing trends and frequently asked questions from staff.
  • Provide other tactical support to the HR Team, participating in work planning and scheduling.
  • Support HR leadership with projects and HR needs.
  • Perform other related duties as assigned.
Requirements:
  • Bachelor's degree in Human Resources Management, Psychology, Business, or working experience equivalent.
  • A minimum of 1-2 years' experience in Human Resources-related work required, with onboarding experience.
  • Previous experience working with DOH, DOE, DFTA, and/or OASAS regulations preferred.
  • Superior administrative and computer skills, with a strong knowledge and use of Microsoft Office Suite, and HRIS platforms. Prior experience with ADP Workforce Now, Perfect Forms, WordPress, Indeed, and Gradar preferred.
  • Must have excellent interpersonal skills and the ability to build strong working relationships with all levels of employees, ensuring superior customer service.
  • Strong administrative skills, including organization, multi-tasking, ability to proactively follow up on ongoing projects, strict attention to detail, accuracy, inquisitiveness, thinking ahead, and problem-solving.
  • Excellent written and oral communication skills, comfortable fielding difficult questions and recommending appropriate solutions.
  • The successful candidate will have a proven ability to work independently and as part of a team, with the skill to balance multiple projects successfully.
  • Ability to exercise sound judgment, make effective decisions in the best interest of the organization, and maintain required confidentiality and discretion.
  • Bilingual (Spanish, Mandarin, Cantonese) a plus.
