Under the supervision of the Business Administrator, the Administrative Operations Coordinator will assist various departments with operational functions and challenges. Responsibilities will often encompass data management, scheduling, support inquiries, and a range of administrative duties. This role may require the Coordinator to act as a project facilitator, which includes tracking progress, identifying obstacles, and coordinating follow-ups with team members and other partners.
This position will be based on operational needs and departmental schedules. On-site responsibilities will include operations, security, and access management.

The Administrative Operations Coordinator will navigate a diverse programming landscape, providing exceptional client service, prioritizing safety, and promoting a collaborative and respectful workplace.
Key ResponsibilitiesAdministrative Support- Assist administrative and operational teams on specific projects, providing research, presentation, and meeting preparation assistance.
- Support invoice processing, supplier registration, and purchase order submissions.
- Collaborate with staff and workgroups on various projects and tasks.
- Address support requests and submit work orders to relevant departments.
- Conduct site assessments to identify potential safety, accessibility, equipment, and facility concerns.
- Manage check-in and check-out processes for individuals with authorized access, ensuring compliance with university policies.
- Provide guidance on policies to all entrants.
- Submit facility maintenance requests and follow up to ensure timely resolution.
- Assist with the setup and breakdown of equipment for events.
- Support education and enforcement of compliance policies.
- Undertake additional projects as required.
- Relevant experience in providing administrative support to professional teams.
- Demonstrated ability to complete tasks efficiently, seeking clarification when necessary.
- Strong organizational skills and ability to follow instructions accurately.
- Experience managing responsibilities amidst interruptions and a dynamic workload.
- Proficiency in standard business software, including Microsoft Office Suite and Adobe Acrobat.
- Excellent written communication skills for creating clear and concise correspondence and reports.
