Supervisory Responsibilities: On-Site Management Team

Key Responsibilities:
The following duties outline the responsibilities of the Community Coordinator and may be adjusted as community needs evolve.

Leasing & Marketing Strategies
  • Collaborate with the Leasing and Marketing Manager to devise marketing strategies aimed at achieving occupancy targets.
  • Generate weekly status updates and suggest modifications to pricing or leasing promotions.
  • Maintain comprehensive knowledge of the property and competing communities through ongoing market analysis.
  • Ensure prompt follow-up with all prospective residents.
  • Review and approve all resident Housing Contracts.
Administrative Duties
  • Safeguard the confidentiality of client, resident, and company information.
  • Coordinate all staff meetings and any necessary special or emergency gatherings.
  • Comprehend and comply with Fair Housing regulations.
  • Maintain a tidy and professional workspace.
  • Assist with corporate initiatives as required.
  • Assess the technology needs of the site and ensure compliance with the company's technology policies.
Financial Oversight
  • Lead the creation of the annual budget and business strategy for the property.
  • Manage the accounts receivable process and address property delinquency as necessary.
  • Supervise the accounts payable process.
  • Authorize property purchases and monitor expenditures.
  • Compile monthly variance reports and end-of-month reporting packages promptly.
  • Project quarterly income and expenses.
Team Management
  • Oversee staff, including recruitment, ongoing training, mentoring, and professional development.
  • Report on bi-weekly payroll, timesheet submissions, and employee records.
  • Conduct annual performance evaluations for staff.
Resident Relations
  • Recognize and exceed the needs and expectations of residents, prospective residents, clients, and vendors.
  • Maintain effective communication with residents, parents, and university representatives.
  • Distribute monthly newsletters and resident communications.
  • Foster a positive community atmosphere for residents and staff, encouraging participation in events and activities.
  • Assist in resolving resident conflicts by promoting respect for individual differences.
  • Develop and implement resident retention initiatives.
Facility Management
  • Execute a successful turnover plan.
  • Ensure staff utilizes the Facilities tool in Entrata for tracking, closing, and following up on service requests.
  • Guarantee timely completion of service requests by the maintenance team.
  • Regularly inspect the property to identify and address maintenance concerns.
  • Lead the maintenance team in conducting quarterly inspections of each unit.
  • Understand, communicate, and enforce community safety, emergency, and fire evacuation protocols, providing emergency response and resources.
Risk Management
  • Document and address resident behaviors that violate laws or community lease agreements.
  • Identify and mitigate safety and security risks.
  • Prepare and submit incident reports.
  • Manage emergency situations in collaboration with the corporate team.
Qualifications:
  • Bachelor's degree preferred; high school diploma required.
  • A minimum of 4 years of experience in various roles within a residential rental community.
  • At least 2 years of experience as a Community Coordinator with a proven track record of success.
  • Experience in student housing is highly preferred.
  • Demonstrated proficiency in all aspects of property management operations.
  • Strong financial, organizational, analytical, and decision-making abilities.
  • Proficient in internet, word processing, and spreadsheet applications.
  • Exceptional communication, management, and interpersonal skills.
  • Experience with Entrata is preferred.

The compensation for this position is $70,000 annually, influenced by various factors including market conditions in the candidate's geographical area.
