Administrative Coordinator

Join Polk County Board of County Commissioners as an Administrative Coordinator and contribute to the success of our Health and Human Services Division.
About the RoleWe are seeking a highly organized and detail-oriented individual to provide administrative support to our Health and Human Services Administrator. As an Administrative Coordinator, you will be responsible for coordinating meetings, scheduling appointments, and managing special projects. You will also provide day-to-day support to the management team, including coordination of meetings, preparing materials, and handling logistics.

- Coordinate scheduling for meetings and events, including layboard meetings, team meetings, and status updates.
- Provide day-to-day support to the management team, including coordination of meetings, preparing materials, and handling logistics.
- Manage and coordinate a variety of activities, reports, schedules, and data for projects and work in progress.
- Follow up on action items from staff or committee meetings to ensure proper implementation or completion.
- Independently draft, prepare, proofread, type, process, and/or research documents, including memoranda, letters, records, reports, summaries, and other related office material.
- Coordinate special projects and conduct research as directed.
- Receive and distribute confidential information and correspondence discreetly.
- Facilitate personnel-related processes and procedures, including accurate records, personnel action forms, timekeeping, and new hire/transfer onboarding process in collaboration with managers.
- Draft and assemble agenda and related materials for meetings and conferences.
- Make necessary reservations and secure travel arrangements and authorizations prior to travel, as well as reimbursements upon return.
- Assist with quarterly reports.
- Coordinate all Facilities and IT work requests.
- Manage electronic mailbox and ensure timely response to inquiries and requests.
- Coordinate with Commissioners' Executive Assistants for Service Awards.
- May assist in preparing agenda items to go before the Board of County Commissioners.
- Coordinate proper maintenance for program area assigned vehicles.
- Disseminate information to appropriate staff.
- Perform related duties as required.
- Graduate of an accredited high school or possess an acceptable equivalency diploma and have a minimum of six (6) years of general office experience.
- Must be able to utilize all features afforded by word processing and other required software and personal computers utilized by the assigned work unit.
- Must possess a valid driver license and be able to secure a valid Florida driver license at the time of employment within this classification.
