Administrative Coordinator

Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Four Oaks Family & Children Services. In this role, you will provide support services for an Enterprise integrated team, including internal and external customer support, documentation, and training management.
Key Responsibilities:
- Manage training calendars, rosters, and registration websites.
- Demonstrate knowledge of training requirements for employees and resource families.
- Manage supplies for trainings, prepare packets and paperwork, and arrange venues as needed.
- Schedule relevant and purposeful trainings.
- Complete training applications for the state and individual training certificates.
- Assure trainers receive payment and monitor inboxes for timely responses to emails, calls, and other communication.
- Keep neat records of training evaluation forms and other training-related documentation.
- Support multiple programs, including RRTS, PMIC, QRTP, and FCS, while maintaining record confidentiality.
- Implement database management policies and procedures per regulatory and legal standards and Enterprise guidelines.
- Provide professional internal and external customer service, assist clients with resource and referral information, and provide clerical assistance as needed.
- Make calls or mailings as assigned by the Program Director, recording and reporting back responses.

Qualifications:
- High School Diploma or GED
- At least 1 year of clerical experience
- Evidenced proficiency in word processing, customer service and communications, office management, and organizational skills
