We are seeking a highly organized and detail-oriented Administrative Assistant to support our CEO in a fast-paced environment. As an Administrative Assistant, you will play a critical role in ensuring the smooth operation of our organization.

**Key Responsibilities:**

  • **Calendar Management:**
    • Manage the CEO's schedule, ensuring alignment with priorities and making adjustments as needed.
    • Plan, prepare, and organize meetings and events, including reserving meeting rooms, arranging catering, and planning retreats.
    • Identify opportunities to free up the CEO's time and suggest ways to optimize their schedule.
    • Monitor energy levels and schedule meetings accordingly.
  • **Email Management:**
    • Prioritize incoming emails, responding on behalf of the CEO when possible.
    • Write and edit email communication in the CEO's voice and tone.
    • Transfer tasks generated through email into the CEO's task management system.
  • **Administration:**
    • Assist with financial duties, including clearing ministry cards, coordinating invoice payments, and tracking expenses.
    • Book travel, add details to the calendar, and coordinate trip preparation.
    • Prepare and maintain agendas, reports, meeting notes, contracts, and materials.
    • Maintain organized digital files in Google Drive.
    • Build and maintain a database of key stakeholders, ensuring regular connections with the right people.
    • Assist with various tasks for the Executive Leadership Team.
    • Work directly with the CEO to support all aspects of their daily work routine.

**Requirements:**

  • High school diploma or equivalent required.
  • 2+ years of experience in an administrative role.
  • Excellent organizational and communication skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Proficiency in Google Suite and Microsoft Office.
