This role is per diem with no weekend shifts. The selected candidate will be required to cover various offices within the designated area.

POSITION SUMMARY:
Administrative Support Specialists deliver clerical and organizational assistance in healthcare environments. They are tasked with welcoming patients both in person and via phone, providing essential information, confirming insurance details, scheduling appointments, updating patient records, collecting co-pays, distributing necessary forms, securing pre-authorizations, coordinating referrals and testing, obtaining required signatures, adhering to established escalation protocols, and communicating effectively with office personnel and healthcare providers. Administrative Support Specialists must exhibit meticulous attention to detail, accuracy, professional demeanor, and exceptional customer service skills consistently.

EDUCATION/CERTIFICATION:

  • High school diploma or equivalent is mandatory.

EXPERIENCE:
  • Familiarity with medical terminology is essential.
  • Prior experience in a medical office setting is preferred.

COMPETENCIES:
  • Basic knowledge of computer scheduling systems, preferably Meditech and Ntierprise.
  • Outstanding customer service and interpersonal abilities.
  • Comfortable functioning in a fast-paced, confidential healthcare environment.
  • Team-oriented with excellent written and verbal communication skills.
  • Physical capability to perform office tasks, including prolonged periods of standing or sitting, occasional bending, kneeling, reaching, and lifting light to moderate weights; proficient in operating office equipment requiring repetitive hand movements and fine motor skills.
  • Ability to foster working relationships and interact with patients and staff daily.
  • Reliable transportation and willingness to travel to different offices as needed.
  • Proficient keyboarding skills.

ESSENTIAL DUTIES and RESPONSIBILITIES:

Perform front office tasks, including verifying and updating patient information in the system, collecting co-pays, providing necessary forms for completion, and obtaining signatures as required.Maintain and update current information on physician schedules to ensure proper patient scheduling and appointment confirmations.Oversee and uphold a clean and organized waiting area.Answer phone calls in a courteous manner, screen calls, take messages, provide information, and address patient needs promptly, escalating urgent situations as per office protocol.Maintain tracking logs as requested by management.Support office staff by assisting with scanning, photocopying, faxing, and data entry.Verify patient insurance eligibility.Attend meetings as necessary.Participate in Patient-Centered Medical Home Care Team collaborations.Obtain pre-certifications for tests, procedures, treatments, medications, and hospitalizations as required.Schedule and coordinate referrals and external testing for patients as directed by the physician.Respond to requests from physician offices and patients for medical records to be sent to other facilities.Maintain confidentiality and adhere to HIPAA regulations.May be required to perform additional duties as assigned by management.
