Client Relationship Specialist

The Client Relationship Specialist plays a crucial role in assisting Financial Advisors (Registered Representatives) in managing their daily investment operations while elevating the overall customer service experience. This individual collaborates closely with Registered Representatives to facilitate client documentation, execute financial transactions, nurture client relationships, arrange meetings, and liaise with clients and financial institutions. This position can serve as an entry point into a career development program leading to future roles that necessitate industry expertise and certifications (Insurance, FINRA Series 7, & 66 or 63/65 combination).
Key Responsibilities:
- Serve as a communication bridge between registered representatives and their clientele.
- Handle incoming calls, coordinate appointments, and prepare resources for client consultations.
- Assist registered representatives in creating client presentations, including illustrations, graphs, charts, and reports.
- Prepare and finalize client documentation and follow-up tasks to support registered representatives.
- Engage with clients through phone calls, virtual meetings, and in-person interactions to ensure their service needs are fulfilled.
- Organize client-focused events and manage follow-up activities.
- Maintain client records and adhere to retention policies in accordance with corporate standards.
- Proactively reach out to clients and registered representatives regarding time-sensitive matters (e.g., Required Minimum Distributions, Quarterly/Annual Client Reviews).
- Take ownership of inquiries and requests; coordinate with internal departments to meet clients' expectations for prompt service delivery.
- Educate clients about account services, features, and emerging technologies.
- Complete mandatory corporate training on new technologies and adhere to implementation protocols.
- Ensure compliance with guidelines, document client communications in AdviceWorks/SmartWorks and Redtail while following corporate standards in a timely manner.
- Collaborate with Advisors during weekly meetings to assist in maintaining their Business Plan processes, marketing efforts, and client communication strategies.
- High School Diploma or GED.
- Experience in an administrative or customer service capacity.
- Strong organizational and time management abilities.
- Exceptional written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel & PowerPoint) and capable of learning new software.
- Prior experience supporting Registered Representatives/Financial Advisors.
- Background in financial services or banking.
- Bachelor's degree in Finance, Business, Marketing, or Communications.
- Attention to detail, outstanding organizational skills, and the ability to multitask effectively in a dynamic work environment.
- Able to prioritize tasks and manage workflow independently while accommodating unexpected requests from Advisors.
- Self-motivated, productive, and able to work collaboratively as well as independently.
- Professional demeanor with a friendly attitude, both in-person and over the phone.
- Trustworthy and discreet with confidential information.
- Ability to listen attentively to instructions and retain important details.
