Job Summary

We are seeking a highly organized and detail-oriented Project Coordinator to join our Ambulatory Operations team. The successful candidate will be responsible for coordinating the efforts of multiple stakeholders to support the development and implementation of strategic initiatives.

Key Responsibilities
  • Maintain agendas, meeting minutes, trackers, and follow-up items to ensure successful project movement.
  • Coordinate between Ambulatory Operations, clinical department leadership, IT, marketing, and other stakeholders.
  • Assist Department Leadership in standardizing and improving processes to enhance the patient experience.
  • Ensure project leaders are informed of barriers, progress, and outstanding items.
  • Analyze data to evaluate the success of implemented initiatives and offer solutions for next steps.
  • Review existing metrics and dashboards to identify areas for improvement.
  • Communicate professionally with internal peers, leadership, and external vendors.
  • Coordinate patient communications, including paper letters, MyChart messaging, phone calls, and text messages.
  • Work collaboratively with the ambulatory operations team and other departments to optimize the patient experience.
  • Support the maintenance and improvement of the patient-facing clinical provider directory.
  • Respond to requests in a timely manner and set expectations for resolution.
  • Assist with clinic walk-throughs and identify needs in conjunction with construction projects.
  • Be willing to deviate from the normal schedule to provide support for Clinic Go lives as needed.
  • Maintain good relationships with interdepartmental coalitions, such as PDC, IT, Marketing, and others.
  • Cross-train on peer duties to act as a backup as needed.
  • Develop PowerPoints, Excel files, and Word documents to support various meetings and initiatives.
Requirements
  • Bachelor's Degree in Healthcare Administration or related field.
  • Ability to work and communicate effectively within the department.
  • Ability to work well in a high-stress environment.
  • Flexibility to work in a fast-paced and rapidly changing environment.
  • Ability to work independently or cooperatively as a team member with independent decision-making ability.
  • Problem-solving, analytical, and critical thinking skills.
  • Proficiency with Microsoft Outlook and other Suite programs.
  • Ability to multitask and prioritize.
  • Attention to detail and proofreading skills.
  • Organization and task management skills.
