Position: Executive Administrative Coordinator to the CEO

Type: Full-Time, Direct Hire
This role entails providing comprehensive administrative assistance to our CEO within a vibrant and fast-paced setting. The successful candidate will be adept at managing the CEO's priorities, demonstrating proficiency in various software applications, and coordinating effectively with colleagues across multiple departments.
Key Responsibilities:- Facilitate procurement, scheduling, planning, execution, and monitoring of meetings.
- Collaborate with internal and external stakeholders, including business partners and vendors.
- Manage all business and personal affairs of the CEO within the United States.
- Act as a communication bridge between the CEO and site personnel regarding operational procedures.
- Document meeting minutes, manage meeting schedules, and ensure timely updates.
- Provide administrative support to the New York office during the CEO's international engagements.
Education: Bachelor's degree preferred
Experience: Minimum of 5 years in an executive administrative support role, preferably in the real estate sector. Candidates with 3 years of experience may be considered based on exceptional interview performance.
- Self-motivated and resourceful with strong organizational capabilities.
- Ability to influence and maintain composure under pressure.
- Exceptional time management skills with a keen attention to detail.
- Outstanding written and verbal communication abilities.
- Proficient in Microsoft Excel, PowerPoint, and Outlook, with a willingness to learn new systems.
- Basic knowledge of accounting and finance is advantageous.
Experience supporting C-Suite executives is highly desirable. Candidates should possess project management skills, flexibility to adapt to organizational changes, and a professional demeanor. The ability to manage multiple tasks and prioritize independently is essential. Strong problem-solving skills and the capacity to maintain confidentiality are also required.
