Accounting and Administrative Coordinator

We are seeking a highly organized and detail-oriented individual to support our operations and ensure the smooth functioning of our business.

Job Summary

This is a dynamic and challenging role that requires a strong ability to prioritize tasks, excellent communication skills, and a high level of analytical thinking.

Key Responsibilities
  • Accounting:
    • Process vendor invoices and forward to corporate for payment
    • Manage all vendor relationships and ensure timely payments
    • Review monthly accounts payable reports for accuracy and identify areas for improvement
    • Secure documentation for processing new vendor accounts and maintain accurate records
    • Track all invoices received and ensure timely payment
    • Monitor and manage PDC assets
  • Administrative:
    • Assist the manager in various tasks and projects
    • Coordinate event planning and logistics
    • Order office supplies and maintain a well-stocked inventory
    • Schedule vendor appointments for repairs or requests and ensure timely follow-up
    • Coordinate and schedule travel arrangements and accommodations for employees
  • Benefits:
    • Assist hourly employees with 401K applications and resolve any issues
    • Handle all insurance-related matters, including health, dental, and vision
    • Manage the FTE and contractor payroll system and submit to payroll for processing
    • Track vacation, sick, and floating holiday time off for all employees
    • Monitor and track perfect attendance
    • Conduct onboarding with contract associates and ensure a smooth transition
  • Customer Service:
    • Assist the parts information coordinator as needed in handling customer service calls from dealers
  • Reporting and Analysis:
    • Perform EOM reconciliation for accounts payable and identify areas for improvement
    • Maintain employee point system and track absentee issues
    • Manage employee personnel files and ensure accurate records
    • Prepare reports for the operations manager as required and provide timely insights
    • Track productivity for monthly performances and identify areas for improvement
Requirements
  • High school degree required and/or equivalent work experience
  • 5+ years of advanced-level administrative experience in a professional environment
  • Specialized knowledge and skills:
    • Ability to analyze and build custom reports and presentations in Excel and PowerPoint
    • Ability to work independently with limited direct supervision
    • Exceptional interpersonal skills for both internal and external clients at all levels
    • Experience with SAP accounting/warehouse system is preferred
    • Exposure to ADT or similar security system
