The Accounts Management Specialist will play a crucial role in the financial operations of the company. This position involves managing the processes related to invoice matching, vendor communications, and various accounting tasks. Responsibilities include data entry, processing transactions, and maintaining accurate financial records.

Key Responsibilities:

Accounts Receivable Duties:

  • Handle transactions related to Accounts Receivable, including customer billing and documentation.
  • Provide necessary invoices and documents to customers upon request.
  • Process payments received via cash, checks, and credit cards.
  • Accurately record all cash receipts on a daily basis.
  • Manage credit applications for new customers.

Accounts Payable Duties:

  • Conduct three-way matching of vendor documents, including packing slips and invoices.
  • Ensure proper approvals are obtained for vendor invoices.
  • Post vendor invoices and credit card transactions accurately.
  • Distribute weekly credit card statements to department heads.
  • Maintain records of team members' credit card transactions.
  • Assist the Accounts Payable Manager with various tasks as needed.

General Ledger Responsibilities:

  • Perform balancing and analysis of all accounts, including Accounts Receivable and Payable.
  • Maintain a monthly summary schedule for the accounts mentioned above.
  • Ensure weekly balances align with the trial balance and prepare for month-end closing.
  • Provide monthly reports to the Assistant Controller regarding account statuses.

Additional Responsibilities:

  • Communicate effectively with other accounting team members and supervisors.
  • Respond promptly to emails and voice messages.
  • Complete special assignments as required.

Qualifications:

  • High school diploma or equivalent, with relevant experience.
  • A minimum of three years in an accounting role.
  • Strong mathematical and detail-oriented skills.
  • High ethical standards and professionalism in handling financial matters.
  • Proficiency in computer technology and various accounting software.
  • Ability to collaborate effectively with others.

Work Environment:

This position operates in a standard office environment, utilizing typical office equipment such as computers and filing systems.
