Job Overview

The Real Estate Marketing & Administrative Assistant plays a crucial role in supporting the operational and administrative functions of the Umstead and Oak Team, affiliated with Keller Williams Realty Raleigh. This position is designed to ensure seamless operations in both buyer and seller transactions while managing daily office activities with a strong focus on client hospitality.

Compensation:

$25 - $30 hourly

Key Responsibilities:

Administrative and Office Management

  • Oversee executive schedules, travel arrangements, and office budgets.
  • Manage accounts receivable and payable, payroll, expenses, and mileage tracking.
  • Organize communications to enhance office efficiency.
  • Coordinate onboarding, training, and support for new agents.
  • Maintain organization licenses, certifications, and necessary credentials.

Transaction Coordination

  • Assist in managing transaction processes, including listings, contract-to-close, and compliance with legal requirements.
  • Organize listing appointments, property details, and preparations for showings.
  • Handle MLS input, promotional marketing efforts, and negotiations.
  • Facilitate smooth communication throughout buyer transactions.

Marketing and Client Engagement

  • Develop marketing materials, manage social media presence, and ensure brand consistency.
  • Create educational content for clients about neighborhoods and organize client events.
  • Implement communication strategies, provide client updates, and manage weekly newsletters.
  • Assist in coordinating team events and activities.
  • Field leads generated from various online platforms.

Additional Duties

  • Perform various managerial tasks while maintaining necessary professional credentials.
  • Respond to client feedback, draft legal documents, and manage team roles.
  • Adapt work style to accommodate various entrepreneurial tasks as needed.
  • Collaborate with the firm's MCA to achieve compliance with NCREC requirements and support team goals.
Qualifications:
  • Valid Real Estate License is required.
  • Experience in the real estate industry is essential.
  • Strong verbal and written communication skills.
  • Availability during weekends and evenings.
  • High school diploma or GED is mandatory.
