Role Overview

As our Customer Engagement Specialist, you will be the first point of contact for our esteemed clients, whether they are visiting us, calling, or reaching out via email. You will embody professionalism and warmth, infusing a touch of classic Texas charm into every interaction while managing essential operations to support your colleagues and ensure a seamless client experience.

Key Responsibilities
  • Welcome and Assist Clients: Provide a friendly and professional greeting, address general inquiries, and efficiently guide clients to the appropriate departments for further assistance.
  • Manage Communications: Handle incoming phone calls and general information emails, ensuring timely and accurate responses while directing inquiries to the appropriate teams.
  • Oversee Invoicing and Accounts Receivable: Coordinate the invoicing process, track payments, and manage accounts receivable to ensure accurate and timely financial transactions.
  • Facilitate Post-Sale Processes: Collaborate with clients and relevant team members on post-sale collection, shipping, and payment, implementing scheduled reminders for timely follow-up.
  • Coordinate Pre-Sale Activities: Prepare administrative materials for auction events, process client registrations and absentee bids, and inform clients of their bidding status.
  • Front of House Management on Auction Day: Act as the main point of contact for guests, ensuring a welcoming and organized environment, assisting with registration, and managing the overall flow of the event.
  • Manage Supplies: Maintain an organized inventory of office and event supplies, placing orders as necessary to ensure adequate stock levels.
  • Handle Mail Operations: Oversee the receipt and distribution of incoming mail, and manage the preparation and dispatch of outgoing mail for timely correspondence.
  • Maintain Customer Records: Ensure that client information is accurately recorded and updated, verifying details as needed for smooth operations and compliance.
  • Issue Escalation: Identify and escalate relevant issues to senior management when necessary, ensuring timely resolution and follow-up.

Job Details
  • Position: Full-time (40 hours/week + overtime) including some weekend auction events.
  • Reports to: Senior Management.
  • Benefits: Profit sharing, paid time off, employee discount.
