Position Overview

The Healthcare Provider Integration Coordinator plays a pivotal role in assisting the Provider Recruiter with recruitment initiatives and managing the onboarding journey for physicians and advanced practitioners. This role encompasses overseeing and coordinating every phase of the Provider Recruitment Interview, Site Visit, and Onboarding process, including payer credentialing and medical staff privileges. The Coordinator serves as the primary point of contact for new providers and internal departments, ensuring a smooth, efficient, and timely onboarding experience for all medical professionals. A high level of critical thinking, problem-solving skills, and foresight in identifying potential challenges is essential to guarantee that candidates adhere to the hiring timeline.

Key Responsibilities

The Healthcare Provider Integration Coordinator provides substantial technical support for recruitment efforts alongside Provider Recruiters and organizational leadership. Maintaining exemplary standards of professional communication, courtesy, and interpersonal skills is crucial. The Coordinator interacts with employees and management across all levels within the organization, acting as a bridge between Physician and Advanced Practitioner candidates and the organization throughout the recruitment process.

The primary duties include:

  • Developing and sustaining a comprehensive understanding of the healthcare system and surrounding communities to effectively address candidate inquiries.
  • Collaborating with Provider Recruiters to plan, schedule, and execute site visits for provider candidates and their families, which includes coordinating travel arrangements, accommodations, meals, community tours, and itinerary management.
  • Assisting candidates with reimbursement processes for expenses incurred during the recruitment process.
  • Supporting new providers with relocation efforts and vendor account setups as necessary.
  • Tracking and processing departmental expenses related to recruitment and assisting with budget reporting as needed.
  • Serving as the single point of contact for all departments involved in the credentialing and onboarding of new providers, aiding them with the necessary documentation for state licensure, credentialing, and privileging.
  • Assisting Provider Recruiters with preliminary verification processes, including references, background checks, and licensure verification.
  • Continuously enhancing processes, policies, and techniques to improve provider recruitment.
  • Maintaining knowledge of relevant federal and state regulations and guidelines.
  • Participating in additional responsibilities as assigned to support physician recruitment and retention efforts.

This position does not involve direct patient care.

Minimum Qualifications

Education: A Bachelor's Degree or equivalent experience is required, along with a strong command of the English language.

Experience: A minimum of 2 years of experience in healthcare, legal secretarial, or executive administrative support is preferred, with experience in physician services, provider relations, recruitment, or human resources being advantageous.

Licenses: A valid driver's license is required.

Certifications: Certification in Onboarding and Retention from a recognized association is required within the first two years of employment.

Computer Skills: Proficiency in Microsoft Office Suite is essential, along with the ability to navigate online platforms for job-specific training and documentation.
