The Healthcare Provider Onboarding Coordinator plays a vital role in assisting the Provider Recruiter with recruitment initiatives and overseeing the onboarding journey of physicians and advanced practitioners. This role is responsible for managing and orchestrating all phases of the Provider Recruitment Interview, Site Visit, and Onboarding process, including payer credentialing and medical staff privileges. The Coordinator serves as the primary point of contact for new providers and internal departments, ensuring a smooth, efficient, and timely onboarding experience for Renown Medical Group Providers. A high level of critical thinking, problem-solving skills, and proactive barrier anticipation is essential to ensure that candidates meet hiring timelines.

Role Responsibilities

The Healthcare Provider Onboarding Coordinator provides extensive technical support for recruitment efforts in collaboration with Provider Recruiters and Renown leadership. This position requires maintaining high standards of professional communication, courtesy, performance, and interpersonal skills. The Coordinator will engage with employees and management across all levels within Renown Health, acting as a liaison between Physician and Advanced Practitioner candidates and the organization throughout the interview process.

The primary duties include:

  • Developing and sustaining a comprehensive understanding of the Renown health system and surrounding communities to assist with candidate inquiries.
  • Collaborating with Provider Recruiters to plan, schedule, and execute site visits for provider candidates and their families, including travel arrangements, lodging, meals, community tours, and itinerary management.
  • Assisting candidates with reimbursement processes for incidental expenses incurred during the recruitment process.
  • Supporting new providers with relocation efforts and vendor account setups as necessary.
  • Tracking and processing departmental costs related to Provider Recruitment and assisting with budget reporting as needed.
  • Serving as the single point of contact for all departments involved in the credentialing and onboarding of new providers, facilitating documentation for State Licensure, credentialing, and privileging processes.
  • Assisting Provider Recruiters with preliminary verification processes, including references, background checks, and licensure verification.
  • Continuously improving recruitment processes, procedures, and policies.
  • Maintaining knowledge of relevant federal and state laws and guidelines.
  • Participating in additional responsibilities as assigned to enhance physician recruitment and retention.

This position does not involve direct patient care.

Minimum Qualifications

Education: A Bachelor's Degree or equivalent experience is required, along with proficiency in the English language, including reading, writing, and speaking.

Experience: A minimum of 2 years of experience in healthcare, legal secretarial, or executive administrative support is preferred, with experience in physician services, provider relations, contracts, recruitment, credentialing, or human resources being advantageous.

Licenses: A valid driver's license is required, with the ability to meet Renown Health's Department of Motor Vehicle Report criteria upon hire.

Certifications: Certification of Onboarding and Retention (OARC) from the Association for Advancing Physician and Provider Recruitment (AAPPR) is required within the first two years of employment.

Technical Skills: Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Word, is essential, along with the ability to complete online learning requirements and access necessary online forms and policies.
