Position Summary:
The Client Intake Specialist plays a crucial role in representing Family Therapy Associates with professionalism and courtesy. This position is pivotal in assisting both new and existing clients while supporting team members.

Key Responsibilities:

  • Manage incoming calls for new client intakes and promptly return voicemails.
  • Oversee the entire intake process for new clients, which includes gathering necessary information, scheduling initial appointments, and coordinating with billing specialists for benefits verification.
  • Facilitate client signatures for treatment documents using electronic signature platforms and follow up as needed.
  • Respond swiftly to appointment requests received via email.
  • Conduct reminder calls for upcoming appointments.
  • Engage in meetings with administrative staff and supervisors as scheduled.
  • Ensure timely scanning of clinical documents into client records.
  • Promote Family Therapy Associates' values and foster a positive work environment.
  • Report any misconduct or ethical concerns to supervisors within a timely manner.
  • Contribute to office morale by communicating needs and suggestions to management.
  • Adhere to all ethical standards and clinic policies, including those outlined in the employee handbook.
  • Provide support for other administrative roles as necessary.
  • Make immediate decisions in the best interest of the clinic when supervisors are unavailable.
  • Maintain a clean and safe environment in the office.
  • Address client complaints with empathy and explain grievance procedures when necessary.
  • Perform additional duties as assigned.

Qualifications:

  • Minimum of a high school diploma.
  • Strong ability to engage clients effectively during phone interactions.
  • Proficient in multitasking and prioritizing various responsibilities.
  • Empathetic approach to clients seeking mental health services.
  • Skilled in maintaining accurate documentation of client interactions.
