Job Summary

We are seeking a highly skilled and organized Clinical Support Specialist II to join our team at Brigham & Women's Hospital (BWH). The successful candidate will be responsible for providing exceptional patient care and administrative support to our ambulatory rehabilitation department.

Key Responsibilities
  • Provide warm and welcoming greetings to patients and visitors, ensuring a positive experience from the moment they arrive.
  • Manage patient flow, ensuring efficient and timely processing of patients through the department.
  • Operate multi-line telephone consoles, screening calls and providing information to callers, recording and transmitting messages, or directing calls to the appropriate individual.
  • Prepare and distribute patient-reported outcome measures, ensuring accurate and timely completion.
  • Identify and resolve issues related to insurance and registration, providing clear guidance to patients.
  • Collaborate with the triage supervisor to identify and address problems or opportunities that impact clinical schedules and service availability.
  • Receive and distribute incoming mail and insurance approvals, scanning department-related forms into EPIC and managing MD reconciliation.
  • Schedule appointments for multiple ambulatory EPIC departments within Rehabilitation Services, utilizing the computer's clinical information scheduling option.
  • Maintain various lists and records, including triage and walk-in referrals and beeper numbers, as directed.
  • Organize and maintain office supplies, ensuring a well-stocked and efficient department.
  • Manage pre-scheduling programs for post-op patients, research patients, and walk-ins, ensuring seamless transitions and efficient use of resources.
  • Assist in training new clinical and front desk staff, providing guidance and support to ensure a smooth onboarding process.
  • Collaborate with the managed care coordinator, providing support and assistance as needed.
  • Develop and maintain effective interpersonal skills, ensuring excellent communication and customer service skills in all interactions.
  • Maintain confidentiality and privacy, adhering to HIPAA/PHI guidelines and ensuring the secure handling of sensitive information.
  • Stay up-to-date on HMO, managed care, and other third-party insurers, providing accurate and timely information to patients and providers.
  • Work on special projects as directed, demonstrating flexibility and adaptability in a fast-paced environment.
Requirements
  • High school diploma or equivalent required; some level of higher education preferred.
  • Three or more years of customer service experience or experience in a hospital setting preferred.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups of patients, staff, and providers.
  • Strong problem-solving skills, with the ability to independently resolve complex administrative and patient issues.
  • Proficiency in Microsoft Office suite and computer-based appointment scheduling, with moderate keyboard skills.
  • Ability to work in a fast-paced environment, with a high level of accuracy and attention to detail.
