Key Responsibilities:

Personnel Management:

  • Assist in onboarding processes for caregivers and may support recruitment efforts.
  • Ensure caregiver personnel files are secure, accurate, and complete.
  • Verify and maintain caregiver credentials, including licenses and certifications.
  • Generate and provide monthly evaluations and skills reports to management.
  • Coordinate with Corporate Risk Management regarding worker compensation claims and return-to-work activities.
  • Serve as the primary contact for caregiver inquiries related to company benefits and policies.

Caregiver Coordination:

  • Establish and maintain orientation schedules for caregiver staff.
  • Keep an updated contact list of all active caregivers.
  • Review and confirm weekly schedules according to branch guidelines.
  • Distribute monthly schedules to patients' homes as per guidelines.

Office Support:

  • Manage documentation through scanning and filing.
  • Assist with incoming calls and ensure accurate message delivery.
  • Handle mail distribution to appropriate departments.
  • Process invoices in accordance with branch procedures.
  • Order office supplies as needed.
  • Execute special projects as assigned.

Payroll Responsibilities:

  • Enter weekly timesheets for caregiver visits to facilitate billing.
  • Audit payroll reports and make necessary adjustments promptly.
  • Ensure timely processing and closure of payroll each week.
  • Prepare and maintain payroll documentation.
  • Communicate discrepancies in profit reports to management.

Qualifications:

  • High school diploma or GED required.
  • Proficient typing and Microsoft Office skills.
  • Experience in payroll and/or human resources is preferred.
  • Two years of general office experience is advantageous.

Skills:

  • Maintain confidentiality and professional boundaries.
  • Ability to manage stress and remain composed in challenging situations.
  • Strong attention to detail and time management skills.
  • Effective problem-solving and conflict resolution abilities.
  • Excellent organizational and communication skills.

Physical Requirements:

  • Ability to communicate effectively in English.
  • Occasional lifting and carrying of up to 25 pounds.
  • Prolonged periods of sitting, standing, and walking.

Work Environment:

This position is primarily office-based with occasional field visits during operational hours. The role may involve exposure to various environmental conditions.
