Job Summary

We are seeking a detail-oriented and organized Administrative Coordinator to join our team in New York. The ideal candidate will be accountable for the flow of all administrative office functions to keep the office and team equipped to run smoothly.

Key Responsibilities

  • Preparing and reviewing reports, including processing backorder reports, inventory reports, and open vouchers processing.
  • Liaison between office staff and operational staff to determine inventory receipts against incoming vendor invoices.
  • Processing inventory receipts, billing, and other clerical functions, including receiving and billing, coding and submitting invoices for payment, and fielding questions from vendors regarding payments.
  • Performing and coordinating annual physical inventory.
  • Supporting voucher life-cycle processing.

Requirements

  • High school diploma or equivalent.
  • Proven experience as an office clerk or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking skills.
  • Attention to detail and a high level of accuracy.
  • Ability to work independently and as part of a team.
