Summary/Objective

The primary responsibility is to prepare customer invoices from various locations while implementing necessary process improvements.

Essential Functions

  • Maintain precise aging reports across multiple sites.
  • Handle month-end accounts receivable invoicing.
  • Process accounts and ensure billing compliance with established financial policies.
  • Conduct daily financial transactions, including verification, classification, computation, research, posting, and recording of accounts receivable data.
  • Generate bills receivable, invoices, and credit memos for a diverse customer base.
  • Support the Office Manager as required.
  • Reconcile the accounts receivable ledger to confirm that all payments are accurately recorded.
  • Investigate discrepancies and resolve billing issues for clients.
  • Maintain organized files for all customers.
  • Facilitate timely payment of invoices by sending reminders and contacting clients.
  • Produce financial statements and reports detailing the status of accounts receivable.

Required Education and Experience

  • High school diploma or equivalent; or one to three months of related experience and/or training; or a combination of education and experience.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.

Experience in accounts payable, data entry, and record-keeping.

  • 1-2 years of relevant experience.
  • Solid understanding of fundamental accounting principles.
  • Demonstrated ability to calculate, post, and manage financial records accurately.

Position Type/Expected Hours of Work

This is a full-time role, typically requiring 8 hours of work each day, Monday through Friday, during standard business hours. Overtime may be necessary.
