Job Overview
The Sales Operations Specialist collaborates closely with the sales team to guarantee the effective execution of product setup and asset distribution to clients, along with the preparation of sales data reports as required. The primary objective is to ensure timely delivery and precision of information communicated both internally and externally.

The Sales Operations Specialist engages with various internal teams to confirm that communication and processes are functioning optimally. This role involves direct interaction with multiple departments: Sales Team (Digital/Retail), Order Management to verify accurate item shipments, and Brand Strategy/Marketing Teams to ensure that product setup and asset information align with customer specifications. The specialist will share best practices and work with internal teams to outline, document, and enhance processes.

KEY RESPONSIBILITIES

As a Sales Operations Specialist, your responsibilities will encompass, but are not limited to:

Product and Asset Setup
  • Acts as an administrator for Bandai Namco, managing retailer and partner interfaces and systems.
  • Utilizes internal tools and applications to establish products and assets in retailer systems while adhering to delivery deadlines.
  • Completes, verifies accuracy, and communicates any manual product and asset setup forms as necessary.
  • Maintains external applications to support product and asset setup and ongoing management.
  • Collaborates with third-party setup companies as needed to ensure accurate product and asset information.
  • Demonstrates proficiency in Excel.
Development of Retailer/Customer Sales Tools
  • Works closely with Sales Directors and Managers to create retailer sales tools and presentations.
  • Provides the sales team with supporting data and worksheets as requested.
  • Assists in the design of sales tools using Microsoft applications.
  • Collaborates with Brand Strategy to ensure product information and assets are current and accurate.
  • Experience with Amazon Vendor Central is preferred.
Process Management, Ownership, and Training
  • Ensures the accurate and efficient processing of item setup and asset delivery communications.
  • Partners with Brand Strategy to implement processes and recommend enhancements.
  • Coordinates with Order Management to confirm the accuracy of items being shipped to clients.
  • Facilitates training for Sales Team members on processes, tools, and applications.
Inventory Oversight
  • Collaborates with the Supply Chain Management team to update inventory and transfers.
  • Reviews weekly purchase orders and initiates inventory transfers based on unaccepted items.
  • Investigates incoming inventory and adjusts Amazon release dates as necessary.

EDUCATIONAL BACKGROUND
  • Bachelor's degree preferred from an accredited institution or equivalent in a related field.
REQUIRED EXPERIENCE
  • Experience supporting a sales organization or retailer merchant team in a fast-paced, high-volume environment.
  • Proven experience working cross-functionally with the ability to troubleshoot and resolve customer and internal issues.
  • Experience with ERP systems and external applications.
  • Intermediate to advanced proficiency in Microsoft Excel and Windows-based business applications such as Word, PowerPoint, and Adobe programs.
  • Strong research, analytical skills, and problem-solving capabilities.
  • Highly organized with exceptional attention to detail and accurate data entry skills.
  • Ability to work independently and excel with minimal supervision.
