Position Overview: The Academic Advising Coordinator plays a crucial role in delivering specialized operational assistance to comprehensive academic advising efforts across the institution. This role collaborates closely with the director and assistant directors to develop and enhance academic advising programs for advisors, students, and various stakeholders, aiming to improve the overall quality of academic advising services.

Essential Qualifications:

A bachelor's degree and a minimum of one year of experience in a student services role, particularly in academic advising or student success.

Licensing Requirements: A valid driver's license is necessary.

It is important to note that compliance with PA Act 15 is mandatory for this position. Candidates will be required to present completed clearances and training certificates upon hiring. For further details, please refer to the appropriate resources regarding PA Act 15 Clearances.

Salary Range: $33,105 - $41,381

Preferred Qualifications: Experience in administrative functions, professional coaching or advising, familiarity with EAB Navigate and/or Degree Works platforms, and experience supervising student or part-time staff.

Key Responsibilities:

  • Oversee the daily execution of retention initiatives supporting academic advising, including but not limited to:
    • Assisting the Director and Assistant Directors with the coordination and scheduling of academic advising and registration activities.
    • Creating resources to facilitate both in-person and online advising and registration processes; compiling data from software applications to generate reports while adhering to FERPA guidelines.
    • Managing workflow within the unit; completing necessary employee documentation and communicating with IT for system requests and troubleshooting.
    • Identifying areas of confusion and proactively addressing them through training and communication.
  • Act as a primary resource for students, helping to formulate action plans in response to inquiries, challenges, and concerns:
    • Assessing students' immediate needs and employing strategies for support and referrals within the advising unit and across the institution.
    • Triage student complaints and facilitate resolutions.
  • Manage the advisor assignment and reassignment process:
    • Communicate with academic departments to maintain updated advisor lists.
    • Keep the faculty advisor assignment list current for reassignments.
  • Collaborate with the Director of International Student Programs to ensure academic advising support for international students complies with relevant regulations.
  • Provide administrative assistance to the Academic Advising Steering Group.
  • Recruit, train, and supervise student workers across the advising department:
    • Maintain training materials and resources for student workers.
  • Support ongoing data collection, program assessment, and reporting:
    • Gather and compile data; stay updated with technology to enhance processing, report generation, and communication dissemination.
  • Maintain the advising unit's webpage and manage email and phone communications.
  • Engage in professional development activities to ensure proficiency in advising best practices:
    • Participate in professional development opportunities, including memberships in professional organizations and attendance at relevant conferences and workshops.
  • Travel to various campuses as needed to support transfer coaching.
  • Perform additional duties as assigned.
