Key Responsibilities:

Organizational Leadership:

  • Oversee the finance and accounting department, ensuring effective management of billing and collections for all clients and programs.
  • Act as a key liaison among the billing team, subcontractors, and clients.
  • Lead and coordinate support teams involved in finance, project financial controls, and billing processes.

Accounting Management:

  • Ensure timely and accurate monthly financial close processes.
  • Maintain precise financial records in Quickbooks and supervise data entry activities.

Financial Planning and Reporting:

  • Conduct financial planning, analysis, and reporting for management.
  • Deliver trend and variance analyses along with graphical reporting.
  • Design budgeting and forecasting tools, providing monthly financial reports including income statements, balance sheets, and cash flow statements.

Banking Relations:

  • Foster strong relationships with banking institutions and provide necessary information as required.

Tax Compliance:

  • Collaborate with tax accountants to ensure timely filing of all taxes.

External Audit Coordination:

  • Assist external auditors by providing required information and support.

Policy Development:

  • Establish and maintain financial policies and procedures, recommending enhancements to support corporate objectives.

Regulatory Communication:

  • Engage with regulatory agencies to fulfill reporting requirements.

Financial Systems Management:

  • Lead the selection and implementation of new ERP systems, ensuring alignment of accounting data with financial reporting needs.

Program Management:

  • Maintain accurate program records and provide comprehensive reporting to project managers.
  • Prepare and present financial reports to senior leadership.
  • Analyze raw data from project systems and manage Risk/Reward KPI performance.

Client Engagement:

  • Serve as the financial liaison between clients, teams, and subcontractors, ensuring clear communication of financial health.

Financial Practices Enhancement:

  • Develop and refine financial practices that align with Ramos CS policies and commitments, including budgeting and cash flow management.

Forecasting Participation:

  • Engage in operational and long-term forecasting for projects and programs.

Post-Implementation Reviews:

  • Conduct reviews of completed projects to assess success and provide data-driven recommendations for improvements.

Process Improvement:

  • Identify and address bottlenecks in processes, enhancing AR/AP/billing workflows.

Change Order Management:

  • Oversee project-level changes and risks, assessing impacts on financials.

Qualifications:

  • Bachelor's degree in Finance, Accounting, or a related field.
  • 7+ years of relevant accounting experience.
  • Proficient in Quickbooks and Paychex Flex.
  • Strong knowledge of budgeting, forecasting, and cash flow management.
  • Ability to analyze large data sets effectively.
  • Advanced skills in MS Office Suite, particularly Excel.
  • Solid understanding of AR/AP/Billing processes.

Preferred Qualifications:

  • Master's degree in Finance, Accounting, or a related field.
  • Experience in the AEC (Architecture, Engineering, Construction) industry.
  • 10+ years of experience in financial budgeting and practices.
  • Proven track record in facilitating cost reductions through process improvements.
