Position Overview

The Healthcare Practice Manager is responsible for the comprehensive oversight, direction, and enhancement of their designated medical practice, ensuring the operational efficiency and stability of clinical services in assigned areas, which includes quality, accessibility, and value. This role leads, manages, and synchronizes overall operational and administrative functions to guarantee optimal efficiency, superior patient experiences, and adherence to relevant HR and regulatory standards. Collaborating with clinical leadership, the manager ensures that Columbia Primary Care's strategic objectives are met. The practice is led in a manner that fosters an outstanding patient experience, contributing to favorable health outcomes and a workplace culture characterized by kindness, inclusion, integrity, accountability, and excellence.

Key Responsibilities

Operational Management

  • Collaborates with physicians, administrative leaders, and clinical staff to achieve operational and financial targets across the practice. Oversees and coordinates all processes and activities within assigned functions, ensuring compliance with organizational policies.
  • Develops and implements protocols regarding patient scheduling and operational matters in collaboration with medical and administrative personnel.
  • Manages the procurement and inventory of clinical and office supplies, ensuring optimal stock levels are maintained.
  • Optimizes facility usage during operational hours by managing staffing ratios, patient volume, and clinical space utilization.
  • Monitors operational dashboards, including Front Desk, Scheduling, Referrals, and In-Basket management.
  • Ensures timely completion of all operational work queues.
  • Oversees front-end revenue cycle activities, including physician billing, copay collection, and adherence to billing compliance.
  • Maintains oversight of the physical environment at all practice locations, coordinating with IT, housekeeping, and other departments.
  • Ensures cleanliness and safety standards are met, escalating issues as necessary.
  • Creates daily, weekly, and monthly staffing assignments to ensure adequate clinical coverage.
  • Conducts regular meetings with staff to facilitate information sharing and coordination of care.
  • Engages in scheduled meetings with supervisors to explore new strategies for performance and process enhancement.

Strategic Development

  • Monitors key performance indicators and implements improvement initiatives as necessary, continuously seeking operational enhancements.
  • Leads and mentors staff in alignment with Columbia Primary Care's strategic vision, fostering a patient-centered environment.
  • Utilizes data analytics to identify trends and inform decision-making.
  • Participates in projects aimed at performance improvement.
  • Directs customer satisfaction initiatives, maintaining a positive demeanor in all interactions.
  • Sets and monitors patient portal activation targets, developing strategies to achieve these goals.
  • Contributes to interdisciplinary committees focused on enhancing patient care.

Team Leadership

  • Oversees supervisors and staff, managing recruitment and human resource functions.
  • Evaluates staff performance and provides constructive feedback in accordance with HR guidelines.
  • Promotes professionalism through coaching and training, modeling best practices.

Regulatory Compliance

  • Ensures adherence to institutional policies and regulatory requirements to enhance patient encounters and outcomes.
  • Stays updated on compliance training and ensures a safe work environment.
  • Maintains patient confidentiality in accordance with HIPAA regulations.

Qualifications

  • Bachelor's degree or equivalent experience.
  • Minimum of 4 years in a related field.
  • Proficiency in project management and data analysis.
  • Strong communication skills, both verbal and written.
  • Ability to work independently and collaboratively in a diverse environment.
  • Proficiency in Microsoft Office or similar software.

Preferred Qualifications

  • Master's degree.
  • Experience in a physician practice setting.
