Position Summary:

As the Office Manager, you will be integral to our operations, ensuring that our office functions efficiently. Your proactive mindset will contribute to a productive and harmonious workplace. Work Schedule:

This position operates Monday through Friday, from 8 AM to 5 PM.

  • Administrative Oversight:
    • Managing daily office operations.
    • Tracking office and laboratory inventory.
    • Ordering and receiving supplies.

  • Financial Management:
    • Processing patient and insurance payments.
    • Handling billing inquiries and establishing payment plans.
  • Team Leadership:
    • Recruiting, training, and overseeing staff.
    • Conducting performance reviews and providing constructive feedback.
    • Managing staff schedules and addressing requests for time off.
    • Resolving staff issues and conflicts.
    • Recognizing staff milestones and achievements.
    • Coordinating schedules for medical students and pre-medical interns.
  • Client Relations:
    • Ensuring a positive experience for clients.
    • Addressing client inquiries and complaints.
    • Providing customer service and managing supply orders.
    • Overseeing courier logistics and pickups.

  • Regulatory Compliance:
    • Ensuring adherence to healthcare regulations, including HIPAA and CLIA.
    • Staying informed on healthcare policies and procedures.

  • Communication Facilitation:
    • Acting as a liaison between staff and management.

  • Operational Improvement:

    • Managing the laboratory information system and implementing enhancements.
    • Evaluating workflows and proactively suggesting improvements.
  • Quality Assurance:
    • Monitoring and refining office practices.
    • Upholding high standards of patient care.
    • Conducting regular audits and quality assessments.
  • Specimen Processing Support:
    • Entering patient orders into the laboratory information system.
    • Assisting with the preparation of send-out tests.
    • Responding to specimen requests from healthcare providers.
    • Tracking and documenting results from send-out tests.
    • Monitoring for errors and issues requiring attention.

Qualifications:

  • Bachelor's degree in business administration, management, or a related field.
  • Demonstrated experience in office management with successful leadership and teamwork.
  • Knowledge of medical terminology and insurance processes is preferred.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in office software, including Mac OS, Windows, MS Office, Teams, and Google Workspace.
  • Aptitude for learning and utilizing custom software solutions.
  • Strong written and verbal communication abilities.
  • Effective problem-solving skills and the ability to think critically under pressure.
