Position OverviewThe Equipment Lifecycle Coordinator is tasked with overseeing the planning and management of all equipment orders, ensuring a seamless process from payment collection to installation.
This role involves collaboration with both Sales and Service departments, and we seek a collaborative individual committed to the equipment lifecycle.
This position will alternate between Equipment Lifecycle Coordinator and Dispatch roles, as well as serve as a versatile team member to address various needs across departments.
Flexibility and a willingness to learn are crucial for success in this role.
Key ResponsibilitiesTo excel in this position, an employee must effectively carry out each essential function, with or without reasonable accommodation.
Project Management:
- Oversee the equipment lifecycle: sales quotes, orders, receiving, invoicing, returns, job site evaluations, resource planning, staging, inspections, and inventory management.
- Monitor Gross Margin for all equipment sales.
- Collaborate closely with TechEdge Service Coordinators for resource and project planning.
- Coordinate equipment installation with the Service Department, Equipment Specialist, Territory Salesperson, and the Customer.
- Verify orders upon receipt from manufacturers and prepare equipment for customer delivery and installation, ensuring proper tagging for inventory management.
Procurement Administration:
- Manage procurement of all equipment orders from internal and external clients while maintaining optimal inventory levels and determining ideal sourcing and timing for purchases.
- Handle invoices, prepare purchase orders, maintain equipment records, process credits and returns, and create financial documents as needed.
- Oversee warehouse management, including preparation, counting, maintenance, and reconciliation of inventory using necessary systems and tools.
- Account for returns as branch inventory or vendor returns.
- Collaborate with external lenders to confirm financing approvals and payment collections.
- Work with vendors to resolve any pricing discrepancies between purchase orders and invoices.
Customer Service:
- Uphold Patterson's values and professionalism through appropriate conduct at all times.
- Communicate professionally with customers and vendors, ensuring timely follow-up when necessary.
Required:
- Associate's degree or higher in business or accounting preferred, or at least 2 years of relevant experience.
- Strong organizational skills, attention to detail, analytical abilities, problem-solving skills, and collaboration capabilities.
- Proven success in prioritization and time management.
- Sound decision-making abilities and judgment.
- Excellent interpersonal and communication skills, both written and verbal.
- Ability to positively contribute to the team environment by taking initiative to learn and enhance skill sets.
- Proficient use of technology.
Preferred:
- At least 1 year of experience in the dental industry.
- Experience in project management and/or accounting.
- Familiarity with technology, including Microsoft 365 and SAP CRM and ECC platforms.
- Demonstrated enthusiasm for learning and embracing continuous improvement.
Physical Demands:
- Operate a computer or other office devices for the majority of the workday.
- Occasionally move packages weighing up to 10 pounds, such as office supplies or equipment.
- Communicate effectively with others in person, over the phone, and in writing.
- Read and interpret various electronic and written documents.
Environmental Factors:
- This position is situated in an office environment where team members occupy designated desks or meeting spaces.
