We are seeking a detail-oriented and organized Executive Office Coordinator to join our team in Irving, TX. As a key member of our executive support team, you will provide exceptional administrative support to our executive-level management, including meeting scheduling, travel arrangements, correspondence, report preparation, and more.

About the Role:

The Executive Office Coordinator is responsible for providing administrative support to executive-level management, including:

  • Scheduling meetings and making travel arrangements.
  • Preparing reports and tracking department budgets.
  • Managing the Director's calendar and coordinating meetings.
  • Handling routine mail and inquiries, and setting priorities to assigned projects.
  • Maintaining accurate calendars of appointments, meetings, and due dates for executives.
  • Coordinating meetings and events, including scheduling rooms and meals, both onsite and offsite.
  • Managing IT requests, budgets, org charts, headcount allocation, and ordering office supplies.
  • Assisting in onboarding new hires and providing ancillary support for team members, including assisting project managers.

Requirements:

  • Previous experience as an executive administrative assistant or in a similar role.
  • Proficiency in Office Suite applications such as Outlook, Excel, Word, and PowerPoint.
  • Strong organizational and time management skills.
  • Ability to function with minimal supervision and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • Familiarity with corporate culture and procedures.
  • Experience coordinating meetings and events.
  • Knowledge of IT request management and budget tracking preferred.
  • Experience with onboarding new hires and providing support to team members.

Estimated Salary: $72,000/year ($18/hour x 40 hours/week). Overtime paid at Time and a Half.
