Position Overview:
The Elections Division is seeking a dedicated individual to perform essential administrative and technical support tasks. This role involves the development and execution of operational policies and procedures aimed at enhancing the efficiency of election-related activities.

Key Responsibilities:
• Manage incoming public inquiries and electronic communications, ensuring appropriate routing and responses.
• Facilitate information requests from county election officials and the public regarding election programs.
• Monitor the distribution of election materials and assist with public information requests.
• Support division purchasing and financial operations, including travel arrangements and logistical planning.
• Aid in inventory management and procurement processes within the division.
• Oversee the routing and tracking of incoming and outgoing mail, including priority mailing procedures.
• Assist in the management of the division's records library and adherence to document retention schedules.
• Prepare and distribute certificates and correspondence to election officials statewide.
• Contribute to the creation and dissemination of informational materials related to agency programs.
• Develop surveys, compile data, and generate analytical reports.
• Help organize and coordinate conferences and workshops for election officials.
• Provide professional and courteous customer support to both election officials and the public.
• Undertake additional tasks as assigned by program management.

Qualifications:
• High school diploma or equivalent required.
• At least two years of experience in clerical, secretarial, or administrative roles within public sector or large organizations.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Access.

Preferred Qualifications:
• Bachelor’s degree from an accredited institution, with relevant professional experience considered as a substitute for education.
• Bilingual proficiency, particularly in translating documents from English to Spanish.

Skills and Abilities:
• Excellent verbal and written communication skills.
• Strong computer skills, including database management and software applications.
• Analytical skills for data collection, interpretation, and reporting.
• Ability to manage multiple tasks, prioritize effectively, and adapt to changing circumstances.

• Dependability in maintaining attendance and punctuality.

This position requires the ability to perform duties while seated for extended periods, with occasional walking and the capacity to lift and carry items weighing up to thirty (30) pounds.
