Job Summary:
We are seeking an experienced Operations Manager to join our team at Physicians East. The successful candidate will be responsible for overseeing the day-to-day operations of our Ob/Gyn department, ensuring seamless delivery of administrative services to patients, providers, and staff.
Key Responsibilities:
- Supervise and train staff to ensure effective administration systems and communication mechanisms are in place.
- Develop and implement policies and procedures to improve office workflows and minimize expenses.
- Manage staff scheduling, payroll, and time-off requests, ensuring adequate office coverage.
- Coordinate building maintenance, including equipment, furnishings, and landscape, and ensure compliance with state codes, HIPAA, and OSHA requirements.
- Provide technical support for minor system problems and serve as a Super User for Electronic Medical Record and Practice Management System.
- Collaborate with nursing supervisor to understand clinical position impacts on financial aspects of the POD.
- Perform cost analysis and workflow analysis for various projects and equipment, and improve office workflows and processes.
Requirements:
- Bachelor's Degree in a related field, plus a minimum of five years' experience in managing/supervising multiple staff members and job positions in a diverse hierarchy.
- Background in healthcare required, with strong analytical and organizational skills.
- Exceptional interpersonal communication skills, with the ability to create a favorable impression for the organization to all staff, physicians, patients, and the public.
- Strong relationship building skills, with the ability to delegate and mentor.
- Strong understanding and modeling of customer service principles.
- Ability to lead high-quality and productive staff and physician meetings.
- Knowledge of third-party and insurance procedures, regulations, and billing requirements, and government reimbursement programs.
