Salary:
The role of the VA School Certifying Official is pivotal in overseeing the VA certifications at Hutchinson Community College. This position is dedicated to ensuring that all veteran benefits are managed in accordance with VA regulations and institutional policies. A strong ethical framework is essential for effectively guiding students.

KEY RESPONSIBILITIES:

Core Duties:

  • Administer the educational benefits provided by the US Department of Veterans Affairs at HutchCC.
  • Offer financial and academic guidance to veteran students, including:
    • Keeping the VA updated on the enrollment status of veterans and eligible individuals.
    • Informing the State Approving Authority as required.
    • Assisting veterans in the application process for benefits.
    • Creating schedules aligned with certificate and degree requirements.
    • Maintaining accurate records and communicating responsibilities to students.
    • Facilitating smooth transitions into college systems and career paths.
  • Report any internal issues that may impact services for VA students to supervisors.
  • Stay informed about current VA regulations and benefits.
  • Maintain comprehensive records of VA students and ensure compliance with inspection requests.
  • Support new and returning students throughout their enrollment, including reporting relevant data to the VA for education funding.
  • Certify benefits for veteran students while ensuring knowledge of eligibility criteria.
  • Act as the primary contact for inquiries regarding Veteran Education benefits from students and VA representatives.
  • Adjust and manage VA certifications to accurately reflect current student courses.
  • Reconcile financial records related to VA benefits and various funding sources.
  • Oversee enrollment and billing information for the MYCAA Program.
  • Handle enrollment and billing information for Tuition Assistance Programs across all military branches.
  • Adhere to all Federal, State, accreditation, and institutional policies and procedures.
  • Prepare operational tracking reports as requested by management.
  • Assist with audits, file reviews, and other regulatory requirements as necessary.
  • Gather necessary documentation for file completion.
  • Update all relevant systems with essential student information.
  • Verify that enrollment certifications comply with Degree Plan Requirements.
  • Maintain punctuality and regular attendance while fulfilling job responsibilities.
  • Comply with HutchCC policies, procedures, and practices.
  • Actively participate in campus committees.


Additional Responsibilities:

  • Complete training for Academic Advisors and maintain certification.
  • Develop intervention strategies and implement retention procedures to address issues such as irregular attendance and resource shortages.
  • Maintain advising and career counseling resources, assist with annual course schedules, and collaborate with students on enrollment planning.
  • Verify student placements and enrollments, ensuring all prerequisites are met.
  • Keep an updated schedule, document advising sessions, and follow up on placement testing and appointments.
  • Utilize various communication methods (e.g., virtual, text, call, chat, face-to-face, and email).
  • Educate students about the implications of academic decisions, including course changes and program transfers.
  • Engage in professional development to stay current with technology used in advising services.
  • Provide suggestions for continuous improvement in service areas aimed at enhancing student persistence, enrollment, retention, and completion.
  • Perform other duties as assigned by the Director or Assistant Director of Financial Aid.

QUALIFICATIONS:

REQUIRED:

  • Associate Degree (2 Year).
  • Minimum of 1 year of experience in VA certification.
  • 1 year of customer service experience.
  • Proficiency in computer applications, including spreadsheets and word processing.
  • Excellent verbal, written, and listening skills; ability to sit or stand for extended periods; manual dexterity for office tasks; ability to see and read screens and printed materials; effective communication skills.
  • Ability to learn and comprehend basic instructions related to the position.
  • Physical and mental qualifications may be performed with or without reasonable accommodation.
  • Alternative qualifications may be considered if sufficient to perform the duties.

PREFERRED QUALIFICATIONS:

  • Bachelor's Degree (4 Year).
  • Experience in academic advising or a related field is preferred.

COMPENSATION AND STATUS:

The hourly wage is based on qualifications and experience as determined by HutchCC administration. This is a full-time, 12-month support staff position, eligible for benefits, at-will, and non-exempt.
